Job Summary:

The Events and Community Engagement Coordinator is a full-time position reporting to the Chief Advancement Officer. This position is an integral part of the Advancement team, responsible to further the mission and goals of Providence Animal Center/Francisvale Home for Smaller Animals. This job description should be taken as a general description of the responsibilities of the position. Other duties and responsibilities may be assigned.

Essential Duties and Responsibilities

  • Plan and execute special fundraising and pet adoption events, including, but not limited to, Rescued on the Runway, Clear the Shelters, Gimme Shelter, and Bark in the Park, as well as Rafftery, KOP, and other events as needed. Duties include recruiting and supervising volunteer committees, managing event logistics, and collaborating with the Advancement team to solicit, engage, and activate donors, vendors, and sponsors.  
  • Create and implement systems for event sponsor retention and growth, including organizing, developing, and participating in donor cultivation events.  
  • Primary liaison for PAC’s/FHSA Community Outreach and event management- including oversight of PAC’s Traveling Tails program.  
  • Oversee PAC Volunteer and Foster Facebook page, including nightly adoption updates.  
  • Develop and maintain a calendar, timeline, and action plan for annual fundraising, community, and on-site visibility events and activations with the CAO.  
  • Develop and educate re. SOP for all off-site events and activations, including adoption events, Traveling Tails, on-site events, and community engagement.  
  • Act as point person support to pilot projects such as summer camps, senior facility visits, etc.  
  • Serve as sponsorship coordinator; work with advancement team and sponsors to execute offerings associated with event and annual sponsorships.  
  • Submit post-event reporting, including related income, expenses, and ROI.  
  • Work on all aspects of the silent auction, live auction, and raffle, including solicitation and tracking of items, creating auction packages, writing package descriptions, conducting follow-up with winners after the events, etc.  
  • Actively research, identify and secure in-kind donors for events.  
  • Ensure all marketing, advancement, operations, and PAC needs are identified and fulfilled concerning all events and activations.  
  • Develop and cultivate all relationships and contacts tied to event activation- i.e., venue, outside vendors, site selection, catering, decor, entertainment, on-site branding, etc.  
  • Collaborate and support all other departments at PAC as needed, including Volunteers, Advancement, Operations, Marketing, etc.  
  • Qualifications
  • Bachelor’s degree preferred  
  • Event planning experience required  
  • Project management experience required  
  • Active interest in event management, logistics, and animal welfare.  
  • Must prioritize, organize, delegate, and collaborate; manage time effectively.  
  • Excellent interpersonal communication skills; ability to establish and maintain effective working relationships with coworkers, volunteers, donors, community partners, event sponsors, and vendors. Excellent written communication skills; creative solid writing skills.  
  • Strong organizational skills, including attention to detail and ability to multi-task.  
  • Proficiency in Microsoft Office 365, AirTable, DonorPerfect, and PetPoint is a plus.  
  • Must have a genuine interest in the work, programs, and mission of PAC/FHSA.  
  • Positive attitude and the ability to stay calm under pressure. Solution-based problem solver.

Working Conditions and Physical Demands

  • Office environment; while performing the duties of this job, the employee may be required to work both indoors and outdoors as required by the function. Full-time on-site
  • Ability to lift or carry 20lbs without assistance
  • Must have the physical ability to sit, stand or walk for extended periods of time
  • Position requires a valid driver’s license

Position Type and Work Schedule

  • This position is a full-time, position considering night and weekend work as needed
  • Hours that may vary due to events and may include day, evening and weekend availability as dictated by the event schedule.
