POSITION SUMMARY

The Office Manager is responsible for performing various administrative duties for the Council. The Office Manager supports the Chief Executive Officer (CEO), the Chief Financial Officer (CFO), the Board of Directors and other Council departments.

ESSENTIAL FUNCTIONS

Executive Administration

  • Manage executive’s calendars and set up meetings
  • Maintain board and committee calendars and set up meetings
  • Manage executive’s expenses and prepare weekly, monthly or quarterly reports as required
  • Coordinates executive’s travel arrangements for conferences and seminars
  • Coordinate meetings and prepares support materials and information packets for the Board of Directors, and other representatives within the Council as directed
  • Assists in the production and distribution of meeting materials and minutes for various Board and Board Committee Meetings
  • Maintains Board of Directors files, board records, board governance and attendance
  • Prepares the orientation binder for new board and committee members
  • Acts as the meeting notetaker for various board and committee meetings
  • Manage and monitor office files, supplies, printed material
  • Attend and provide support for various GSSN special events, programs, and recognition ceremonies

Human Resources/Payroll

  • Oversee, organize and manage preemployment background check, new employee orientation, on-boarding, and off-boarding processes
  • Coordinate job postings and candidate pre-screen interviewing process
  • Coordinate new employee orientation including office procedures and completing new hire paperwork
  • Process bi-weekly timecards for payroll processing by tracking missing punches and errors prior to deadline established.
  • Manage and update HR databases with different information such as new hires, terminations, sick leaves, warnings, vacation and days off 
  • Answer employees’ questions and provide requested information
  • Demonstrated understanding of and compliance with GSSN HR policies and procedures
  • Organize, compile, update company personnel records and documentation
  • Maintains well organized personnel files.                                                                                                                                          

Finance/Property

  • Sort and distribute incoming mail daily
  • Answer doorbell and respond to general walk-in inquiries
  • Perform reconciliation and tracking of GSSN employee credit cards for manager approval in a timely manner.
  • Records deposit transactions in accounting systems
  • Participate in annual and cycle inventory counts
  • Performs miscellaneous job-related duties as assigned
  • Crosstrain and provide coverage as needed in all Finance Department

Part-time, Non-exempt; 4 days a week (Mon-Thurs), 6 hrs/day; $20/hr
