OVERVIEW:

Working as part of the tight-knit Records & Information Governance team, the Records Retention Coordinator works closely with the Warehouse Supervisor to identify, review, and prepare files for destruction at the Law firm in Midtown Manhattan.
The primary duty of the Retention Coordinator will be to handle the retention process for files.

RESPONSIBILITIES:

  • Working closely with the Warehouse Supervisor, the Retention Coordinator will carefully review binders, red weld folders, and lose leaf files, within boxes, confirming they are the files to be destroyed. Files not part of the destruction order will be consolidated and returned to the shelves of the warehouse.
  • Carefully follow the instructions outlined by the Supervisor. Each step of the retention process will be clearly stated in a workflow list and the completion of each step will be recorded in a worksheet, and ultimately a computer.
  • Boxes and files with barcodes identified for destruction will be marked as such, and boxes and files identified for preservation will also be marked as such.
  • Communicate with the Warehouse Supervisor by email and/or by phone throughout the Retention process to ensure consistency and accuracy in the retention process and in the record keeping of the process.
  • Responsible for understanding the scope of work for each day’s retention requirement, taking ownership of the process for reviewing the boxes, files, documents to be reviewed, destroyed, preserved, and the recording of these activities in the appropriate format.
  • Collect all relevant paperwork, receipts, and documentation which the offsite storage vendor may provide. These will be secured and ultimately delivered to the Warehouse Supervisor.
  • Any retention issues, concerns, or problems experienced while at the offsite storage vendor, must be recorded and shared as quickly as possible with the Warehouse Supervisor.

QUALIFICATIONS:

  • High School diploma or equivalent
  • 3 to 5 years experience in the Records management industry.
  • Familiarity with Records Management Software (iCompli Records Manager, LegalKEY, File Trail.)
  • Familiarity with MS Office Suite (Word, Excel, Outlook.)
  • Attention to detail and ability to communicate in writing and verbally is a must
  • Must be able to lift and move boxes weighing up to thirty-five pounds.
