As a part of the tight-knit Records & Information Governance (RIG) team, the RIG Specialist performs daily file maintenance, including data entry, assessment of file inactivity, shifting, and other general records-related functions across all areas of law. The role also involves building strong working relationships with Legal and Practice Assistants to ensure the proper filing and maintenance of client files.

Responsibilities:

  • Take directions from the Records Manager or local Records Coordinator.
  • Assist in maintaining file system procedures and policies within the Firm and Records & Information program.
  • Perform file maintenance of client and administrative records.
  • Enter data into the automated records system (iCompli) using the established standard indexing taxonomy.
  • Respond to specific requests by searching, locating, retrieving, and delivering records.
  • Perform file maintenance tasks including interfiling and applying tracking or identifying labels to maintain the records and information repository integrity.
  • Conduct imaging and digitizing activities.
  • Communicate and interact with customers to provide effective customer service.
  • Provide input to management based on current and projected workload.
  • Inform management of issues that impact RIG compliance and program performance.
  • Demonstrate the ability to utilize technology effectively in support of the RIG Program.
  • Participate in departmental audits and related projects.
  • Compile accurate and complete system-generated reports based on requested criteria.
  • Proactively provide support for projects and tasks when needed.
  • Serve as the local office's central point of contact for overseeing the offsite storage vendor and secure shredding services each week, including meeting, engaging, and escorting vendor staff and equipment.
  • Other duties as assigned.

Qualifications:

  • High School diploma or equivalent.
  • Some knowledge of records management, scanning, and digitizing.
  • Minimum 2 - 4 years of legal records-related experience in a large corporation or law environment is a must.
  • Must be customer service-oriented with good communication skills.
  • Proficiency in MS Office applications.
  • Ability to lift 30 lbs. boxes and pull a loaded hand truck.
  • Willingness to work overtime as needed.
