Job DescriptionJob Description

High Net Worth Family located Coto De Caza Orange County is seeking a full-time, long-term Family/Personal Assistant. MUST have an extremely flexible schedule, ability to travel domestically and internationally, love dogs, love horses, and appreciate humor and enjoy a fast paced environment.

The right Assistant will maintain confidentiality and enjoy supporting a family of 4 with their ever changing schedules, travels, and daily needs.

Schedule: Typically Tuesday - Saturday 9:00am to 5:00pm with the flexibility to work overtime or occasional weekends for events, projects, travels. The client typically travels on their own during the holidays, which will allow for some time off and a less busy schedule.

 

Responsibilities:

  • Correspond and collaborate with household staff at multiple properties

  • Calendaring, scheduling, and updating of family calendar via Google Suite and Trello

  • Run errands throughout the day with the client’s staff vehicle

  • Pick up, drive, and drop off young teens from school and other activities with the flexibility to drive long distances with occasional overnights out of town

  • Errands regarding grocery and personal shopping

  • Online gift shopping and ordering

  • Household, cleaning supply, and kitchen inventory; possible meal prep

  • Assist the housekeeper as needed if she’s out; empty the dishwasher, take out trash, tidy up as needed, be a team player

  • Source, schedule, and correspond with contractors and vendors on the family’s behalf

  • Assist with pet care for two dogs as needed (vet appts, drop off at day care, occasional dog walking and dog sitting if family is away)

  • Unpack boxes in the home after a move and create organizational systems

  • Pack and unpack for travels

  • Research

  • Travel coordination for family trips

  • Travel with Family teen daughter to Florida occasionally from a few days to up to a week while she is competing at a horse show.

  • Car maintenance and service, get gas

  • Oversee renovations

  • Source vendors for repairs

 

Requirements:

  • Previous Family/Personal Assistant experience in a private household

  • Experience working with HNW families is preferred

  • Strong Google Spreadsheet and/or Excel calendaring skills

  • Ability to confidently negotiate with vendors and contractors

  • Clean background and driving record

  • Strong verifiable references

  • Valid driver’s license and Passport with the ability to travel internationally

  • No vaping, smoking, etc.

  • Currently local to Orange County with a short commute (no more then a 40 minute commute)

  • Experience working in Orange County with a rolodex of vendors is a plus , family is new to California

  • Strong scheduling, booking, research, and online shopping skills

  • No animal allergies (especially dog or horse)

  • Must be extremely confidential with discretion

  • Available to start ASAP

  • Clean criminal record check

 

Compensation: $75k DOE + potential partial health benefit stipend and discretionary annual bonus

2 weeks paid vacation
