POSITION DESCRIPTION:

Maintain the Service Technicians daily schedules and dispatch the technicians as service calls are generated and/or service calls completed. Schedule return trips with customers when parts are in. Maintain the on-call schedule for the service technicians. Update customer database as needed when customer’s info changes. Clear and concise communication with department managers (Operations, Service, Sales), account managers and company customers, including keeping customers appraised as to company schedule and requested lead times. Provide accounting with billing information for service, small projects and maintenance contracts. Assist in the review of technician timecards, as needed, for validation and/or discrepancies.


KEY RESPONSIBILITIES & ACCOUNTIBILITIES:

• Primary receiver for incoming customer calls
• Schedule and coordinate all service calls as calls are received
• Create dispatch ticket for all service calls
• Dispatch Service Technicians, one call at a time
• Dispatch Service Technicians from home to first call
• Debrief Service Technicians after completion of each ticket
• Maintain dispatch board/schedule
• Forecast workload for 2-3 days out
o This to be coordinated with customers and Account Managers
• Contact customers with a ‘Parts Needed’ status as parts are received for scheduling
• Follow up on all pending and requested work with customer utilizing a pending/open work order report
• Maintain the maintenance agreements, including billing, scheduling, and customer communication
• Coordinate with Purchasing for ‘Special Parts’ that may be required
o This will be identified during the Service Tech debriefing at the end of each ticket
• Forward list of parts used by technicians to Purchase for truck restock
• Maintain on call schedule, to include 1st on call and an administrative back up
• Update database from service ticket

• Make customer satisfaction calls upon completion of work orders
o TBD based on Account Manager’s role
• Other duties as assigned


REQUIRED SKILL SETS, EDUCATION & EXPERIENCE

• Advanced customer service skills
• Computer Skills including MS Office software
• Ability to multi-task
• Ability to work in a fast-paced, team-oriented environment
• Excellent personal organizational & relationship skills
• Knowledge of industry is recommended, but not required
• Two years related experience and/or training in customer service, dispatching, project management or equivalent combination of education and experience
• High School Diploma

PERFORMANCE INDICATORS

• Degree to which unproductive labor or lost time is minimized
• Number of customer complaints due to scheduling
• Number of return trips/call backs due to scheduling inefficiencies
• Filing of Service Tickets
• Timeliness of billing information to accounting
• Follow up on pending or requested work
• Travel time goal=Less Than 1 hour
