Kids Ministry Coordinator

Position:

To provide support for the Kids Ministry, to help assist and coordinate the whole ministry. The Kids Ministry Coordinator (KMC) will perform a wide range of administrative, office support activities, project management, and special event coordination for the ministry to facilitate the organization's effective operation. The KMC will work alongside the team to complete all tasks and projects within the ministry. The KMC will also lead the Elementary Welcome Team for Sunday mornings. The KMC reports directly to the NextGen Coordinator.

Position Type/Expected Hours of Work:
The Kids Ministry Coordinator is a full-time hourly position requiring a maximum of 40 hrs. The work week is from Sunday through Thursday, including special events.

Preferred Education and Experience

HS diploma or equivalent is required. Administrative training or experience. Event planning or coordinating experience is a plus. Church or nonprofit experience is a plus.

Job Description:

RELATIONAL MINISTRY

  • Attend and actively participate in weekly Kids staff meetings, monthly all church staff meetings, and semi-annual church leadership meetings.
  • Recruit, train, coordinate, and shepherd the Elementary Welcome Team. Coordinate relational connections with individuals and the whole team.
  • Contribute in attitude and actions as a ministry-minded, team player with the Kids Staff and entire Grace Fellowship staff.

COORDINATION OF KIDS PROGRAMS/EVENTS

  • Event coordinator/project manager for special events such as, but not limited to, periodic family events including the Family Christmas Eve event, Family Splash Bash, Family Game Night, Family Movie Night.
  • Coordinate administrative details of Kids Ministry events (such as Kids 101, VBS, Special Needs Camp, LAUNCH) Tasks include but not limited to:
    • Securing vendors, food, and supplies as needed.
    • Inputting space reservations in CCB.
    • Inputting any needed set up in Espace.
    • Monitoring registration.
    • Tracking the finances.
  • Oversee Sunday Elementary Welcome Teams – this includes:
    • Train Elementary Welcome Team volunteers.
    • Keep all training materials for check-in and visitor registration current.
    • Schedule and maintain serving schedule for Elementary Welcome Team.
    • Create relational team building opportunities.
  • Coordination of Kids Ministry supplies.
    • Coordinate the coffee bar for leaders on Sunday mornings.
    • Coordinate with Directs for supplies in classrooms and large group areas as needed.
    • Procure supplies for VBS, Launch, and other Kids Ministry events.
    • Maintain and organize office supplies for Kids team, including postcards.
    • Monitor the budget items to make sure the ministry is being good stewards of the finances.

ADMINISTRATIVE SUPPORT OF MINISTRY

  • CCB administrator for Kids Ministry:
    • Keep Kids Ministry CCB groups up to date.
    • Manage CCB functions that relate to Kids.
    • Assist and instruct Kids Ministry staff on maintaining (inputting, updating, and deleting participants) their forms, groups, positions, etc.  
    • Input visitors and add them into appropriate groups.
  • Guarantee Sunday setup is in place and ready for service – this includes:
    • Print and provide classroom rosters on clipboards.
    • Computer & check-in materials are ready & in place.
    • Communicate to Kids Welcome Team information for Sunday and upcoming.
  • Record and report weekly Kids Ministry attendance.
  • Help with administration tasks in Kids Ministry, assisting Directors as needed.
  • Attend church admin meetings to stay up to date on administrative processes and share them with the Kids team.
  • Oversight and enhancement of the Kids Building – this includes:
    • Maintain Kids Ministry kitchen and supply closet by periodically organizing and restocking.
    • Guarantee that the building is maintained in all areas not under the supervision of other staff members.
    • Maintain building needs including updating signage and equipment needed by ministry in coordination with other departments.
    • Process work orders and room requests for Kids ministry.
    • Ensure that all common areas are aesthetically pleasing.
    • Maintain positive relationships across ministries with proactive communication.
  • Manage the Kids Ministry budget –- this includes:
    • Track Kids Ministry budget. Balance budget to prepare monthly and event reports.
    • Monthly credit card reconciliations. Prepare monthly receipts and credit card statements to be signed & submitted to finance.
    • Produce check requests in a timely manner.
    • Tally and report Kids Ministry offerings.

Other duties include:

  • Provide support for Sunday morning operations (subbing in classrooms, greeting, etc.)
  • Receive and direct visitors.
  • General clerical duties including photocopying, fax, and mailing.
  • Maintain electronic and hard copy filing system.
  • Handle requests for information and data.
  • Resolve administrative problems and inquiries.
  • Prepare and modify documents such as reports and training meeting handouts.
  • Open, sort and distribute incoming correspondence.

Supervisory Responsibility
Recruit, train, connect and schedule volunteers for the Elementary Welcome Team for Sunday mornings. Schedule relational gatherings for the team throughout the year.

Work Environment
This job operates in Kids Ministry and office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, and paper cutters.
