The most vital job function of an accounts payable supervisor is attitude, which includes cooperating and interacting positively with co-employees, working as one of the team members, responding to customers in a polite manner, responding positively to supervision, and willing to work under time pressure in the day to day operations.

Qualifications: Bachelor's degree

Skills: in depth understanding of the different accounts payable functions, strong communication and verbal, interpersonal, analytical, organizational, accounting, supervisory, decision making, patient and stay calm under pressure.  Intermediary use of excel (vlookups and pivot tables)

Responsibilities:

  • Prioritize daily workload to ensure critical items are addressed first:
  • Analysis of Invoice Register Workflows
  • Review rejections (including workflow restarted) and make sure they are addressed as soon as possible.
  • Analyze the project assignments periodically to ensure the workload is distributed evenly.
  • Manage workload among team members
  • Process checks and distribute to appropriate parties.
  • Keep list of issues to address in AP meeting or with Supervisors.
  • Vendor's concerns should be addressed by team members first. If there is a need to escalate the issue, then AP supervisors or manager will get involved.
  • Research and handle vendor issues/requests escalated to AP Supervisor
  • Train and supervise staff and clerks within the department.
  • Provide training on new procedures and evaluate workers by determining if their overall performance is satisfactory for their company and department. Keep track of performance, attendance, and conduct issues of personnel.
  • Participate in the hiring process and provide feedback.
  • Address retention and engagement of staff and provide feedback.
  • Assist and support accounting manager in his/her tasks.
  • Meet deadlines on daily demands with staff and supervisors.
  • Build solid relationships across all departments at various accounting levels.
  • Organize month-end, quarterly and annual closings and prepare special analysis tasks and other financial related obligations as requested.
  • Create an efficient network for distributing payments promptly.
  • Keep track of all Expense Reimbursement payments.
  • Daily reconciliation of credit card transactions
  • Process payments to vendors when credit card payment is required.

This position reports to  A/P Manager
