Job DescriptionJob Description

We have partnered with one of the country's largest distributors/supplies of classroom and educational materials.  The Bids department is looking for an Admin Assistant to monitor a high volume inbox (7k-10k emails/week) and route the emails/questions to the right person.

We are looking for a minimum of 6 months experience with RFPs or Bids.  Any industry is welcome.

Pay is $23/hour with a schedule of 8:30am - 5pm Mon-Fri.

This entry-level position will be responsible for supporting the bid process, including researching and evaluating RFPs, assisting with proposal submissions, and tracking bid results. The role requires collaboration with various departments such as HR, Finance, and Legal to ensure compliance with legal and certification requirements for contract submissions.

Responsibilities:

  • Search and review the viability of RFPs via GovWin, subscriptions, and various online sources.
  • Assist in evaluating State & Government contracts, including reviewing the scope of work, deadlines, and identifying resource requirements.
  • Support the submission and completion of RFPs
  • Work closely with HR, Finance, and Legal to gather and process legal and certification documents needed for submission.
  • Help determine discount and freight pricing based on specifics such as margins, promotional material, customer type, or sales input as needed.
  • Track results from submissions and awarded bids
  • Request Certified Checks for Bid Bonds as needed.
  • Request Source Codes for awarded bids.
  • Assist in setting up JDA accounts with resulting bid terms and purchase orders.
  • Request reports for Coop administrative fees.
  • Obtain notarization on bid documents as needed.
  • Review, respond to, or disseminate incoming emails.
  • Assist sales reps with special quotes, including but not limited to spec’ing requested products.
  • Process credits for customer accounts as needed.

Requirements:

  • Experience in a related field or internship experience in government contract management or administrative roles.
  • Familiarity with GovWin, JDA, is a plus.
  • Strong attention to detail and organizational skills.
  • Excellent communication and interpersonal skills.
  • Ability to collaborate effectively with other departments and external stakeholders.
  • Strong problem-solving skills and ability to work under tight deadlines.
