We are seeking an experienced Contract Administrator for an aviation project in our Dallas office.

 

As Contract Administrator, you will process documentation related to the bid and construction phases of projects and contracts/fee proposals for professional services as part of our Dallas team.

 

Responsible for the following areas through coordination with, and following the processes developed by Risk management, Accounting, Project Managers and Word Processing:

1.     Receives and processes all permit submittals and applications such as Building Permits, Miscellaneous Trades Permits and Certificate of Occupancy by electronic means (Energov) and ensures all information is correct.

2.     Supervises Contract Staff and the permit process in order to expedite permit applications and oversees scheduling required inspections.

3.     Tracks all permits and monitors through the entire permitting process including expediting the review process by following-up with code and stakeholder reviewers to ensure that permits are not delayed.

 

ADDITIONAL DUTIES

• Ability to communicate in both oral and written manner with clients and all levels of staff using engineering, architectural and construction terminology.

• Ensure prime and subcontract agreements for professional services are executed and approved consistent with airport policy

• Track contracts for professional services through the approval and execution process

• Type specifications and prepare bid documents per airport procedures

• Set up new construction projects into the document tracking system

• Receive and log construction contract related documents into the document tracking system

• Maintain pending documents in a neat, orderly manner that facilitates retrieval for final marking after review

• Prepare periodic reports indicating the status of contract documents

• Maintain a database of prospective bidders for construction of contracts

• Estimate cost of bid documents

• Manage the printing of bid documents

• Distribute bid documents including addenda and confirm receipt as appropriate

• Receive payment for documents and properly record disposition of funds received

• Maintain and periodically distribute list of plan holders for each project

• Send payments and a copy of records to accounting each week

• Prepare bid tabulations. Maintain records of bid tabulations used in preparing cost estimates.

• Conform bid documents for execution and manage printing of conformed documents

• Serve as a point of contact for communications with Construction Services personnel

• Assist supervisor in administrative functions. Prepare correspondence and perform other typing as required.

• Prepare and document change orders

• Provide guidance to Project Manager on change orders

 

MINIMUM REQUIREMENTS

·        Completion of high school curriculum or equivalent.

·        Two (2) years of administrative and code experience.

·        Any equivalent combination of education and/or experience may be substituted for the above.

·        Possession of a valid Class C driver’s license.

 

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

·        Knowledge of construction terminology and construction permit process.

·        Knowledge of proper grammar, sentence construction, spelling, business vocabulary and math.

·        Basic knowledge of document formatting used in the construction industry.

·        Skill in operation of personal computer-based word processing systems.

·        Knowledge of business English, arithmetic, spelling and vocabulary.

·        Skill in the operation of modern office equipment, including word processing and spreadsheet software.

·        Skill in typing at the speed of 50 words per minute.

·        Skill in the operation of standard office machines.

·        Ability to provide write and provide reports.

·        Ability to perform intermediate mathematical calculations involving fractions, decimals and percentages.

·        Ability to compose routine correspondence using good business vocabulary and proper grammar and construction.

·        Ability to establish and maintain effective and harmonious internal and external working relation­ships.
