POSITION SUMMARY:

Provide care to patients as a member of the care delivery team; keep the medical practice running efficiently by performing administrative and clinical functions within patient flow in a patient centered manner.      

 SUPERVISION: 

 Position does not supervise anyone.

   

ESSENTIAL JOB FUNCTIONS:

   .       Function as part of a practice team to provide patient care.

a.             Use patient centered care concepts in delivering patient care and performing related activities; actively participate in team huddles                  to review daily schedule tasks, and prepare for the day; discuss and plan accordingly for patients on the day’s schedule.

b.             Support and answer telephone calls, triage, and direct calls appropriately.

c.             Schedule and confirm appointments; send new patient information packets and confirm that the new patient registration is                                  completed and returned; remind patients of overdue services such as missed appointments, immunizations, labs, and                                      preventative services.

d.             Proactively prepare patient agenda including verifying procedures, review and update HMP, overdue services, obtain additional                          information to prepare patients and physicians for their appointments.

e.             Escort patients to exam room and prepare patients for examination and treatment; take vital signs, review history including HMP,                     medications, allergies, smoking status, BMI, and immunizations; inform patient of overdue services.

f.              Provide overview of additional follow-up care needed, coordinate, plan and schedule diagnostic tests, process authorizations and                     referrals; provide patient and family education.

g.             Scan medical documents, test results, forms, and insurance information; file and process tasks related to new documents.

h.             Identify actual or potential risks, based upon observation of physiological and/or behavioral data and respond appropriately.

i.              Track patients’ orders to ensure lab and imaging tests are performed and specialists’ and ancillary services are received.

j.              Support correspondences including calls, mail, deliveries, faxes, tasks, prescription requests, emails, and patient portal requests;                    direct appropriately when needed; communicate messages accurately and in a timely manner; process forms and letters as                             needed.

k.             Prepare, clean and maintain exam and treatment rooms daily; maintain inventory for medical supplies.

l.              Maintain medication records, administer medication upon physician order and process medication orders as requested.

m.           Prepare and maintain clinical supplies and equipment including routine sterilization, calibration, and verify freezer and refrigerator                     temperature.

n.             Participate in professional development activities and maintains professional affiliations.

o.             Act as Back up to the PSRs when available between patients.

p.             Responsible for assisting with Medical Records requests from Law firms.

 

2.       Perform activities utilizing specific equipment and supplies appropriately.

a.                    Knowledge of the location, operation, availability and care of equipment; maintain office and medical supplies inventory/order                            list.

b.                   Problem solve, trouble shoot and take corrective measures in care and handling of equipment.

 

3.       Use effective and appropriate communication styles with patients, their families, significant others,    physicians, visitors, vendors,                                  peers, staff and professional colleagues.

a.                    Greet and interact in a pleasant and courteous manner, specifically demonstrating respect, trust,    caring   and empathy.

b.                   Listen effectively, recognize and accept constructive criticism, and is open to opposing points of view.

c.                    Treat all patients, their families, significant others, visitors, peers, staff, provides and professional colleagues in a pleasant and                         courteous manner.

d.                   Demonstrate appropriate and acceptable verbal and non-verbal behaviors.

 

4.       Function as a team member to support practice’s mission statement, goals and objectives.

a.                    Provide input as requested for performance appraisals of team members.

b.                   Act as a willing and available resource to patients and team members.

c.                    Assure the work environment is safe for employees, patients, and visitors.

d.                   Contribute to the development of policies and procedures.

 

5.       Comply with the practice’s established policies.

a.              Adhere to the practice’s confidentiality, compliance, HIPAA, policies and guidelines.

b.             Comply with the Safety Management Program; corrects and reports unsafe situations and practices.

c.              Demonstrate respect for the rights of patients and their families.

MARGINAL FUNCTIONS:

Support members of the care delivery team as determined by practice needs; accept and perform other duties as assigned. 

QUALIFICATIONS & REQUIREMENTS:

EDUCATION AND/OR TRAINING:

1.       High School graduate or equivalent required. 

2.       Graduate of an accredited program for Medical Assistant preferred. 

 

SKILLS AND ABILITIES:

EXPERIENCE:

1.       Experience as a medical assistant or a nursing assistant in a clinic or hospital setting is preferred.

 

2.       Experience with Electronic Medical Records is preferred.

 

PERSONAL ERGONOMICS:          Complies with policies and procedures, equipment orientation and workspace set up to ensure personal safety and well being as it relates to ergonomically sound usage, reporting immediately to management any complications or difficulties regarding appropriate usage of workplace and equipment.

 

OTHER CRITERIA:     Motivated individual desired who takes initiative and approaches work with enthusiasm in a team environment.  Complies with policies and procedures; performs job professionally with respect to others, to property, and to individual safety; works effectively with others to encourage teamwork and productivity.  Maintains strict confidence of client information, ensuring client's privacy, and does not discuss internal business with external entities.

 

JOB FUNCTION STANDARDS:

Physical Effort

·         Ability to lift and carry up to 20 lbs.

·         Ability to operate standard office equipment, including computer, copier, facsimile & telephone.

·         Ability to sit and perform repetitive movement for extended period of time (2 to 3 hours) in a day in order to perform job functions.

Mental Effort

·         Ability to understand type and nature of essential job functions.

·        Mental/emotional endurance for repetitive performance of essential job functions.

WORKING CONDITIONS:

The work of this position is performed in an environmentally controlled office environment. The position requires the ability to work under pressure and with a diverse population, including staff, physicians, clients, patients, insurance companies and other members of the public on a regular basis. The position may cause frequent exposure to communicable diseases, bodily fluids, toxic substances, ionizing radiation, medicinal preparations and other conditions common to a clinical environment.

OTHER REQUIREMENTS:

1.       Certificate from the American Association of Medical Assistants preferred.
