Our company is currently seeking an Administrative Assistant with bookkeeping experience to join our team You will be responsible for preparing and examining financial records for our company, while overseeing day-to-day operations in the office. Including, but not limited to, answer phone calls, proper filing, depositing checks, maintaining customer satisfaction, invoicing, logistics, communicating and sourcing raw materials with our suppliers, and printing labels for products. Responsibilities:
- Obtain primary financial data for accounting records
- Compute and record numerical data
- Check the accuracy of business transactions
- Perform data entry and administrative duties
- Answer phone calls with a friendly manner
- Assisting President/CEO with financial records and reconciliations
- Assisting President/CEO with specific tasks and responsibilities
- Process accounts receivable/payable
- Maintain historical records by filing documents
- Prepare financial reports by collecting, analyzing, and summarizing account information and trends
- Contribute to team effort by accomplishing related tasks as needed
- Print shipping labels as needed
- Prepare and schedule freight logistics
- Order office supplies and raw ingredients
- Professional manner when working with our suppliers and customers
- Act as a point of contact for Human Resources
- Taxes for company and employees
Qualifications:
- Solid understanding of basic accounting payable/receivable principles via QuickBooks Online
- Strong ability to reconcile any financial discrepancies or errors
- Strong ability to track debits and maintain and monitor ongoing financial records
- Fundamental knowledge of taxes, insurance policies, and other business/finance knowledge
- Strong communication skills
- Critical thinking skills / ability to resolve a problem or find a solution
- Ability to prioritize and multitask
- Willingness to learn tasks outside the job description as part of a team collaboration
- Strong organizational skills
- High degree of accuracy and attention to detail
- Ability to take initiative, prioritize and meet deadlines
- Bilingual in English and Spanish preferred
- Strong grasp of mathematical functions to ensure accurate financial recordings
Education, Experience, and Licensing Requirements:
- Bachelor's Degree in Finance, Accounting, or Business Administration preferred
- Strong Experience in QuickBooks and QuickBooks Online
- Previous bookkeeping experience is a must
- Experience in working with multiple legal entities under different legal umbrellas
- Experience working with logistics, internationally and domestic is a plus
- Experience in manufacturing/warehouse inventory is a plus
- Experience managing Human Resources responsibilities
