The Planning and Procurement Manager is responsible for overseeing the planning, scheduling, and procurement activities within the commercial printing company. This role ensures that all materials and resources are available to meet production demands, while optimizing costs and ensuring timely delivery of finished products to clients.

Essential Duties & Responsibilities:

Production and Scheduling

·         Direct the group on production schedules in Printflow (Press / Bindery / Mailroom)

·         Keep open communication with Agency trying to track job progress to maintain schedules

·         Approve all schedules with Agency and commercial clients

·         Coordinate with sales, production, and customer service teams to create and maintain detailed production schedules that meet client deadlines and production capacity.

·         Call into all Kick-off meetings and client presentation conference calls

·         Facilitate the planning of jobs so the plants run efficiently. Evaluate the original job estimate against current conditions to accommodate all work smoothly.

·         Supervise all schedules with vendors when outsourcing work

·         Concept review with Agency when necessary

·         Formats: engineer/create formats and manage all grids/WES entries

Purchasing

·         Manage all outside pricing requests

·         Keep pricing updated purchasing/estimators

·         Approve all purchase orders

·         Provide receiving with schedules for outside vendor deliveries

·         Manage the purchase of all printed materials and envelopes for the company

·         Oversee proofing of outside purchases with all Agency account teams

·         Build and maintain relationships with suppliers, negotiate best-cost reduction, product quality adherence, and on-time delivery within                budget.

  • Research for additional suppliers to enhance availability of product as needed.

Costing/Accounting

·         Manage monthly confirmation of inventory for all cards and envelopes

·         Reconcile all inventories after monthly for accounting

·         Manage/maintain envelope/card usage for job costing

·         Manage/assist with physical paper inventory at the end of each month

Supervisory Duties

·         Supervising the work of Procurement team

·         MSDS as required

·         Annual Report collection and grid maintenance

·         Manage/assist with annual FSC/SFI Paper certification

 Qualifications:

·         Bachelor's degree in Supply Chain Management, Business Administration, Operations Management, or a related field. Relevant             certifications (e.g., APICS, CPIM) are a plus or equivalent experience

·         Minimum of 5 years of experience in planning and procurement, preferably in a manufacturing or commercial printing environment

·         Proficiency in supply chain management software, ERP systems, and Microsoft Office Suite (especially Excel). Familiarity with printing processes and materials is highly desirable

·         Strong analytical and problem-solving abilities, with a focus on optimizing production schedules and reducing costs

·         Excellent verbal and written communication skills, with the ability to collaborate effectively across departments

·         Proven leadership skills with the ability to manage and develop a team
