The Supply Chain and Procurement Specialist plays a crucial role in managing the planning, scheduling, and procurement functions within our commercial printing operations. This position ensures the availability of materials and resources to meet production requirements while optimizing costs and guaranteeing timely delivery of finished products to our clients.

Key Responsibilities:

Production and Scheduling:

  • Lead the team in establishing production schedules using Printflow (Press / Bindery / Mailroom).
  • Maintain clear communication with agencies to monitor job progress and uphold schedules.
  • Authorize all schedules in collaboration with agencies and commercial clients.
  • Coordinate with sales, production, and customer service teams to develop and sustain detailed production schedules that align with client deadlines and production capabilities.
  • Participate in all Kick-off meetings and client presentation calls.
  • Facilitate job planning to ensure efficient plant operations, adjusting original job estimates to accommodate current conditions.
  • Oversee vendor schedules for outsourced work.
  • Conduct concept reviews with agencies as necessary.
  • Engineer and manage formats and grids/WES entries.

Purchasing:

  • Oversee all external pricing requests.
  • Ensure pricing is current for purchasing and estimating purposes.
  • Authorize all purchase orders.
  • Provide delivery schedules to receiving for outside vendor shipments.
  • Manage the procurement of all printed materials and envelopes for the organization.
  • Supervise proofing of external purchases with all agency account teams.
  • Establish and nurture relationships with suppliers, negotiating for cost reductions, product quality, and timely delivery within budget.
  • Research additional suppliers to enhance product availability as needed.

Costing and Accounting:

  • Oversee monthly inventory confirmations for all cards and envelopes.
  • Reconcile inventories monthly for accounting purposes.
  • Manage and track envelope/card usage for job costing.
  • Assist with physical paper inventory at month-end.

Supervisory Responsibilities:

  • Supervise the Procurement team’s activities.
  • Ensure compliance with MSDS requirements.
  • Collect annual reports and maintain grid documentation.
  • Assist with annual FSC/SFI Paper certification processes.

Qualifications:

  • Bachelor's degree in Supply Chain Management, Business Administration, Operations Management, or a related field. Relevant certifications (e.g., APICS, CPIM) are advantageous or equivalent experience.
  • A minimum of 5 years of experience in planning and procurement, ideally within a manufacturing or commercial printing context.
  • Proficient in supply chain management software, ERP systems, and Microsoft Office Suite (especially Excel). Familiarity with printing processes and materials is highly desirable.
  • Strong analytical and problem-solving skills, focused on optimizing production schedules and minimizing costs.
  • Excellent verbal and written communication abilities, with a capacity to collaborate effectively across departments.
  • Demonstrated leadership skills with the ability to manage and develop a team.
