PURPOSE OF POSITION:   

To provide top-tier customer service to both external and internal customers and support all sales order related activities, with a highly confident, passionate, and outgoing disposition.  

 PRIMARY DUTIES & ESSENTIAL FUNCTIONS: 

  • Monitor and review all new sales orders and change orders for customer requirements, purchase order requirements, and technical accuracy.  Provide feedback on the quality of data-entry at source.
  • Coordinate the customer’s requests for data such as drawings, spare parts and production schedules.
  • Follow up with production to ensure order delivery will be made by customer-specified date or latest promised date.
  • Work with sales staff to pro-actively alert the customer of any issues (date, delivery, cost, etc.) and propose solutions where possible. 
  • Provide sales order data entry support to the sales staff when necessary.
  • Track customer complaints/returns to ensure timely and proper corrective action is taken.
  • Maintain and update the ERP database relating to the sales and marketing department data (e.g., customer master file, sales force data, etc.).
  • Generate and submit weekly and monthly reports to the sales force and territory managers as required.  Assist in developing meaningful reporting to sales staff and regional managers.
  • Support the creation and update of procedures and work instructions.
  • Generate, review, verify and send Monthly Commissions reports to sales force and territory managers on first working day of the month, for previous month orders on a reoccurring weekly and monthly basis.
  • Produce and submit weekly refrigeration pump order and shipping reports to customers.
  • Receive TUSA job progress management table report from TEMC then produce the TEMC purchase order/TUSA sales order DMT (date management table) report and submit to Program Manager for uploading into Epicor purchase orders and sales orders.
  • Using Sales Order Date Monitoring DB in Epicor, generate sales order ship date changes and send to all order entry staff so they can alert customers of delays, etc to their order delivery dates.
  •  Participate with weekly Polar/LE team conference calls and sales conference calls.

EDUCATION, EXPERIENCE & SPECIAL SKILLS:

  • Minimum of five (5) years’ experience as a customer service coordinator in a small to mid-sized company, preferably a manufacturing company, with exceptional customer focus and the ability to respond to customers in a professional and effective manner.
  • Strong proficiency in communication skills across organizational disciplines.
  • Skilled in an ERP system and MS Office applications (Word, Excel, and Outlook).
  • Highly proficient in written / verbal communications; effective interpersonal skills.
  • Ability to prioritize workload to manage multiple tasks effectively.
  • Ability to exercise independent judgment.
  • CQE, Lean Manufacturing and/or Six Sigma experience desired

PHYSICAL DEMANDS AND WORKING ENVIRONMENT:

While performing the duties of this job, the employee is required to stand; use hands to finger, handle, or feel; reach with hands and arms; talk, hear, walk, smell, and climb or balance.  Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.  Ability to navigate facility. Work requires frequent and prolonged computer use.

Occasional lifting to 25 pounds.
