The Accounts Payable Clerk is responsible for processing and managing all aspects of accounts payable transactions, ensuring accuracy and timeliness in financial record-keeping. This role involves interacting with vendors and internal departments to facilitate smooth payment processes.

Key Responsibilities:
 
  1. Invoice Processing:
    • Receive and review invoices for accuracy, completeness, and proper approval.
    • Code invoices to appropriate accounts and departments.
    • Enter invoice data into the accounting system.
  2. Payment Processing:
    • Prepare and process payment batches, including checks, electronic transfers, and other payment methods.
    • Verify and reconcile payment amounts with supporting documentation.
  3. Vendor Relations:
    • Communicate with vendors regarding payment inquiries and discrepancies.
    • Establish and maintain positive relationships with vendors.
  4. Record Keeping:
    • Maintain accurate and organized records of all accounts payable transactions.
    • File and archive invoices, receipts, and other related documents.
  5. Month-End Reconciliation:
    • Assist in month-end closing activities, including reconciling accounts payable transactions.
    • Prepare reports summarizing accounts payable activities.
  6. Compliance:
    • Ensure compliance with company policies and procedures.
    • Stay informed about changes in accounting regulations that may impact accounts payable processes.
  7. Support:
    • Assist with ad-hoc financial projects as needed.
    • Collaborate with other departments for cross-functional tasks.
Qualifications:
  • High school diploma or equivalent; additional education or certification in accounting is a plus.
  • Proven experience as an Accounts Payable Clerk in a multi company/store and multi department environment.
  • Proficiency in accounting software and Microsoft Office applications.
  • Attention to detail and accuracy in data entry.
  • Strong organizational and multitasking skills.
  • Excellent communication and interpersonal abilities.
