Job Description:

As an Administrative Specialist you will be responsible for ensuring the proper distribution of information across supervisors, client to Talent Corps, Printing, Data Entry, Printing, Excel, etc.

Key Responsibilities:

· Time Collection: Aiding in the collection of time from supervisors on site to ensure all field employees are paid accurately and on time.

· Inbox Management: Ensure all information sent into operations email is distributed to the appropriate team.

· Administrative Tasks: Maintain accurate and up-to-date records of candidate information. Manage email correspondence and phone calls in a professional and timely manner.

· Client and Candidate Engagement: Build strong relationships with client and candidates, providing exceptional customer service. Address inquiries and concerns promptly and professionally. Seek feedback to continuously improve the recruitment process.

 

Required Skills:

  • Must be Bi-lingual (English & Spanish)

· Communication Skills: Excellent written and verbal communication skills are essential. You should

be able to convey information clearly and professionally to candidates, clients, and team members. This includes active listening, asking probing questions, and providing concise feedback.

· Organization and Time Management: Strong organizational skills are a must. You will be juggling multiple tasks simultaneously, so the ability to prioritize, meet deadlines, and maintain meticulous records is crucial.

· Interpersonal Skills: Building relationships is at the core of this role. You should be approachable, empathetic, and adept at establishing rapport with candidates and clients. Strong interpersonal skills enable you to create a positive experience for all parties involved.

· Problem-Solving and Adaptability: In the dynamic world of staffing and clients, challenges can arise unexpectedly. The ability to adapt, think critically, and find solutions is a valuable skill.

· Customer Service Orientation: A strong commitment to providing exceptional customer service to candidates and clients is vital. You should be responsive, professional, and dedicated to meeting their needs and expectations.

· Attention to Detail: Precision is critical in maintaining accurate records, preparing paperwork, and ensuring a smooth sign in process for pay roll. Attention to detail reduces errors and enhances the overall candidate and client experience.

· Team Collaboration: Collaborative skills, including the ability to coordinate are essential.

· Customer Relationship Management (CRM) Skills: Knowledge of CRM systems or experience in managing candidate and client relationships through a CRM platform is an advantage.

Additional Requirements:

· Bachelor's degree in business or a related field (preferred).

· Previous experience in a staffing or recruiting coordinator role is a significant advantage.

· Strong organizational skills with an ability to manage multiple tasks simultaneously.

· Exceptional communication skills, both written and verbal.

· Proficiency in using Microsoft Office Suite.

· Knowledge of employment laws and regulations is a plus.

· High attention to detail and a commitment to maintaining the highest standards of professionalism and confidentiality.
