Job DescriptionJob Description

Job Summary: The Office Manager reports directly to the Managing Partner and is responsible for the day-to-day office operations of Steidle and Gordon, ensuring the efficient and smooth operations of the office. This team member directly manages the front office staff of two and the administrative functions of six. The Office Manager supports the legal team to provide high-quality service to our clients, while implementing and maintaining technology solutions for improved efficiency and automation.

Responsibilities:

1. Management:

a. Directly manage the front office staff of two (currently).

b. Manage the administrative functions of the paralegal team, including PTO requests, purchasing, payroll, and benefits.

c. Coordinate with/manage service subcontractors including human resources, information technology, accounting, building maintenance, etc.

2. Financial: P&L responsibility for office budget and spending including salary budget/spending for direct reports. Strictest adherence to confidentiality of all Firm financial information. Responsibility to Firm Partners for:

a. Completion of the monthly billing process,

b. Client collection status throughout the month, and

c. Processing of the Firm’s confidential payroll.

3. Human Resources: Manage the Firm’s recruitment process, and team onboarding/separation processes. Liaise with the Firm’s Human Resources Consultant/Manager.

4. Office Operations: Oversee and manage the day-to-day operations of the office, including scheduling, office supplies, and facility maintenance.

5. Administrative Support: Implement and maintain systems to effectively manage and support the legal team.

6. Client Relations: Maintain a professional and welcoming environment for clients and support client relationship management.

7. Compliance and Procedures: Ensure compliance with legal regulations and ethical standards. Develop, implement, and monitor office policies and procedures.

Qualifications:

1. Education: High School graduate or equivalent. Higher education is preferred.

1. Experience: A minimum of 10 years of office experience, with minimum of 3 years supervising/managing others, is required. Legal industry experience preferred.

2. Technical Skills: Proficient in Microsoft Office 365, familiarity with legal automation tools, Clio Grow and CoCounsel preferred.

3. Communication Skills: Strong written and verbal communication skills.

4. Organizational Skills: Exceptional organizational and multitasking skills, with the ability to prioritize tasks efficiently.

5. Leadership: Proven leadership skills and the ability to manage staff effectively.

6. Attention to Detail: High level of accuracy and attention to detail in all tasks.

7. Problem-solving: Proactive problem-solving skills and a positive solutions-oriented approach.

8. Technology Implementations: Explore and implement new technologies and systems to increase firm productivity and efficiency.

9. Special Projects: Manage and coordinate special projects as assigned by the Managing Partner.
