The Purchasing Specialist position plays an integral part in the integrity of the company by providing an excellent level of customer service to the members. This position is primarily responsible for processing a high volume of purchase orders based on historical sales data, for dealers to maximize sales and inventory investment. This is accomplished by managing inventory flow across our dealers and warehouse operation networks to minimize expense. This position works with several internal & external key stakeholders: Members, Vendor Representatives, Merchandising and Inventory/Purchasing.
ESSENTIAL DUTIES / RESPONSIBILITIES:
• Review daily inventory levels and sales forecasts within assigned merchandise categories to ensure dealers have positioned the right amount of inventory to maintain targeted in-stock goals to enhance the customer experience.
• Write purchase orders in Excel or Purchase Order Report Generation (PORG).
• Check in periodically w/ Exec Dir of Merchandising to see if changes are needed to PORG.
• Review the Purchasing Deck Report on a weekly basis (w/each vendor rep if possible) to confirm what’s in stock, and what’s selling to determine if new orders are needed. Monitor frequency of the need to write PO’s.
• Check old open purchase orders.
• Review NLS models.
• Adjust purchase orders regarding short shipments or refused/damaged models as needed based on information received from the warehouse then contact the vendor about the shipment problem. For damages to special orders - request vendor send a replacement. Notify the member of any changes to the PO and send the Bill of Lading to accounts payable.
• Monitoring vendor performance to ensure that purchase orders are fulfilled completely and delivered on time.
• Monitor performance of Dealer in-stock, Inventory Turn improvement and Monthly Inventory Plans to ensure assigned merchandise categories are at target. Escalate to management team when vendor performance issues are impacting targeted performance.
• Provide timely responses to a variety of phone and email inquiries from vendors/members regarding special orders, model availability, price adjustments, canceling orders, and order status/date of delivery.
• Process builder project requests from members- check models, add in applicable discounts, process credit memo for applicable discounts. If member places their own order, then process the invoice upon receipt.
• Recommend continuous improvements including management of replenishment product
• Provide co-workers with assistance and/or work on other assignments as needed. (i.e. builder project quotes, research A/P invoices).
• Perform general office duties as needed.
ESSENTIAL EDUCATION / EXPERIENCE:
• Associates degree in related field is preferred.
• Minimum of 2 years’ relevant work experience preferably in a Retail, Purchasing, Vendor Relations or Distribution Center/ Warehouse environment.
ESSENTIAL SKILLS AND COMPETENCIES:
• Must demonstrate strong customer service skills and a positive “can-do” attitude.
• Strong aptitude/comfort level dealing with numbers and performing data entry work.
• Demonstrated proficiency in Epicor P21 to efficiently replenishment inventory and to achieve in-stock target goals
• A team player with a willingness to assist others and learn cross functional tasks.
• Self-motivated, takes the initiative, a problem solver and possesses a sense of urgency.
