Position
The Administrative Assistant is responsible for the comprehensive administrative support of day-to-day office operations. Reporting to the Managing Director, the Administrative Assistant liaises closely with finance, operations, communications, events & engagement, and The Institute’s content teams. This is routinely accomplished by providing effective customer focused support service to the organization to achieve the organization’s goals and objectives.

The Administrative Assistant will display a proven ability to develop and maintain an environment of trust, diversity, and inclusion within the teams. The ideal candidate will possess strong interpersonal skills, a high level of professionalism and proven success managing multiple priorities and deadlines. The ultimate responsibility of the individual in this role will be to increase efficiency within The Hunt Institute. The Administrative Assistant will be based out of The Hunt Institute’s Cary, NC office.

Responsibilities

Provide general administrative support such as organizing meetings for administrators, greeting office visitors, and composing documents as well as:

  • Answer phones
  • Schedule appointments, maintain calendars, and coordinate meetings
  • Collate and distribute mail daily
  • Prepare communications such as memos, emails, invoices, reports and other correspondence as requested.
  • Write and edit communications, from letters to reports and instructional documents.
  • Provide exceptional level customer service to internal team and external audiences.
  • Ensure strict confidentiality of all staff and organization information.
  • Collaborate cross teams to ensure successful administrative support
  • Other duties as assigned.

Qualifications

  • High school diploma or general education degree (GED) required. Associate degree in business administration preferred.
  • 2-3 years of clerical, secretarial, or office experience is required.
  • Excellent computer skills, including Microsoft Office suite
  • Experience with Microsoft Office Suite required.
  • Excellent verbal and written communication skills

  • Comfortable with routinely shifting demands.
  • Ability to maintain confidence in all sensitive matters.

  • Ability to handle multiple assignments and meet deadlines.
