Job DescriptionJob Description

An equine veterinary practice in Monroe is seeking an experienced Veterinary Practice Office Manager to oversee their administrative operations. The ideal candidate will have a strong background in office management, excellent organizational skills, and a passion for providing top-notch customer service in an equine veterinary environment.

Responsibilities:

Office Administration:

● Manage day-to-day administrative operations of the equine veterinary practice.

● Coordinate appointment scheduling, client communications, and follow-up procedures.

● Maintain accurate records of patient information, medical histories, and billing.

● Oversee inventory management, including ordering supplies and monitoring stock levels.

● Stock the truck with necessary equipment and supplies for upcoming appointments.

● Ensure compliance with regulatory requirements and veterinary standards.

Client Relations:

● Serve as the primary point of contact for clients over the phone.

● Provide exceptional customer service by addressing client inquiries, scheduling appointments, and resolving concerns.

● Assist the veterinarian with client communications, including billing reminders and follow-up care instructions as needed. Financial Management:

● Handle billing and invoicing processes, including over the phone payment collections.

● Monitor accounts receivable and follow up on outstanding balances.

● Prepare financial reports and assist with budgeting as needed.

Staff Supervision:

● Supervise all staff, provide training and support as needed to ensure efficient workflow and excellent customer service.

● Conduct performance evaluations and address any disciplinary or performance issues as necessary.

 

Qualifications:

● Bachelor's degree in business administration, veterinary management, or related field required.

● Proven experience in office management in a veterinary or healthcare setting, preferably equine.

● Ability to ramp up quickly.

● Strong organizational skills and attention to detail.

● Excellent interpersonal and communication skills.

● Proficiency in office software and veterinary practice management systems.

● Knowledge of equine care and terminology is desirable but not required.

● Ability to multitask and work effectively in a fast-paced environment
