Job Overview: The Maintenance Coordinator's responsibilities include service request coordination with Capital Property Solutions technicians, implementing preventative maintenance schedules, coordinating with outside service providers, obtaining bids for community projects, provides administrative support to the maintenance team and other duties as assigned by Maintenance Supervisor.

Your Role on the Team (Job Functions):

  • Coordinate with various departments on scheduling projects 
  • Identify urgency of work based on type and assign accordingly – Ensure non-emergency and emergency requests are responded to in a timely manner
  • Coordinate with contractors and technicians on timelines of small projects and coordinating two-part service requests
  • Work closely with managerial staff i.e., Maintenance Supervisor and Association Manager to draw up and execute the company’s annual maintenance goals
  • Provide a wide variety of administrative assistance to Association Managers, especially in the areas of managing work orders and tenant communication
  • Supports Maintenance Supervisor and Maintenance Technicians with administrative tasks to complete service requests in a timely manner
  • Provide Association Managers with updates on service requests
  • Assist and schedule water shut offs and give access to misc. areas of properties
  • Scope and obtain quotes for large projects
  • Schedule maintenance supervisor for on-site visits with vendors and board members
  • Going onsite to take photos and acquire quotes
  • Coordinate maintenance  and vendors in regards to cap improvement projects and insurance loss
  • Supply room control and organization, keep track of all supplies and inventory of Capital Property Solutions tools, uniforms, trucks, etc.
  • Order various supplies for Maintenance Technicians and Association Managers – researching products Maintenance Technicians will use
  • Organization of all Maintenance Technician receipts and submit to appropriate company for rebates and reimbursement
  • Organization of community information to company server and software to assist Maintenance Technicians
  • Other duties as assigned
Experience / Requirements:

  • Self-starting and reliable
  • 2+ years of Maintenance Coordinator or Project Management experience (preferred not required)
  • Possess strong communication and organization skills
  • Familiar with standard office equipment such as computers, printers/scanners, etc.
  • Available for travel to various properties in and around the Columbus area
  • Experience with estimate creation 
  • Able to work independently and be confident in decision making
  • Proficient in Microsoft Office products
  • Pass security background check
