Summary:

As the Strategic Business Office Administrator (SBOA), you'll play a vital role in supporting our Strategic Business Division across various administrative functions. From billing and collections to customer service and inventory control, your versatility will be key to ensuring smooth operations.

Essential Functions:

  • Stay organized and handle multiple tasks efficiently, even under pressure, maintaining a positive and professional demeanor throughout.
  • Facilitate effective communication within the division through phone calls, emails, and team collaboration, ensuring all correspondence is professional and courteous. You'll also manage phone calls outside regular hours by transferring them to the answering service.
  • Provide comprehensive administrative support, including document preparation, data entry, and creating presentations, while also taking meeting notes for documentation purposes.
  • Ensure accurate and prompt data entry for various records, such as payroll hours, orders, warranties, sales, and invoices.
  • Manage cash, credit cards, and expenses, maintaining balance between billable and payroll hours.
  • Coordinate service calls, pickups, and deliveries for technicians and support personnel.
  • Generate, analyze, and resolve issues from reports related to sales, purchases, expenses, and inventory.
  • Oversee inventory management and ordering of parts and office supplies, collaborating closely with other Service Office Administrators when necessary.
  • Handle additional tasks like drafting marketing materials, attending meetings, or working on special projects, as assigned.

Other Functions:

  • Receive incoming and prepare outgoing shipments, directing them to the appropriate departments or carriers.
  • Perform errands such as purchasing money orders, visiting the post office, or the bank, as needed.
  • Assist with filing and other miscellaneous duties as assigned.

Education and/or Experience:

  • A high school diploma or equivalent is required, along with at least 1 year of related experience and/or training. Previous experience in dispatching, office management, bookkeeping, collections, or billing is preferred.
  • Familiarity with NetSuite and Paycom software is highly desirable.

Licenses, Certifications:

A valid driver's license and insurance are necessary. While not required at hire, obtaining a Customer Service Specialist Certificate from Electronics Technicians International during employment is encouraged.
