Full-Time Administrative Assistant

Position Overview: This position works within our Administrative Department and supports all departments within CRDN as well as affiliated legal brands, as necessary.

We are looking for an experienced administrative support individual with excellent customer service skills and who is detail oriented. The Administrative Assistant is required to be proficient and highly versed in all Microsoft Office applications and must have strong writing and technical skills.

This is a full-time hourly position. The work schedule is 8:00 am - 5:00 pm, Monday through Friday, with a one hour paid lunch daily, but may be flexible. We offer medical, dental, vision, and short- and long-term disability coverage. We offer a 401K program with specified matching after one year, along with 15 days of paid time off, and certain holiday paid time off as well.

Qualifications:

  • Administrative assistance and/or customer service experience: minimum 2 years, with 5 years preferred.
  • Proficient in Microsoft Suite (especially Word and Excel). Experience with Microsoft Teams a plus.
  • Critical thinking and problem-solving skills.
  • Great organization, time-management, and prioritization skills.
  • Strong-interpersonal and communication skills.
  • Associate’s Degree.
  • Able to sit for long periods and lift up to 50 lbs.

Primary Responsibilities:

  • Provide Executive Team Support and assist with meeting coordination.
  • Book travel arrangements for Executives and manage calendars.
  • Review calendars daily and prepare necessary documents for meetings/reviews.
  • Ensure office and conference rooms are cleaned and stocked with necessary supplies.
  • Manage files and keep up to date as requested.
  • Prepare correspondence and file accordingly.
  • Purchase supplies for training (i.e., candy, snacks, office supplies, plaques, etc.).
  • Manage front desk and greet visitors and notify Home Office staff of guest arrivals.
  • Manage and answer incoming and inner office phone calls.
  • Maintain an updated staff phone, address and birthday lists.
  • Maintain facility and point of contact for vendor related building maintenance, office equipment, catering, restaurant services, etc.
  • Ensure all office storage areas are clean, organized, and stocked with appropriate supplies.
  • Order and stock all beverages during regular business days and scheduled training days.
  • Order and maintain all kitchen supplies.
  • Manage all office keys.
  • Oversee and manage all company rental properties.
  • Assist with the planning and preparation of all trade shows, conventions, conferences, etc.
  • Assist with events and coordinate supply shipments.
  • Assist with the planning and preparation of all staff events, summer parties, holiday events, etc.
  • Facilitate all onboarding of new employees.
  • Update census data in all company systems annually or otherwise requested.
  • Assist with all special projects or any other office related tasks and/or assignments.

Additional/Coordinating Responsibilities

  • Maintain training calendar and class rosters.
  • Create and maintain registration links on Eventbrite and CRDN Team Site.
  • Communicate training calendar, final schedules/presentations and details to CRDN staff and other support services (hotel, transportation, etc.).
  • Coordinate schedules with all people assisting in training to ensure trainers and participants are scheduled to be present during training sessions as necessary.
  • Coordinate the ordering of supplies/snacks/meals/vehicles for training week(s).
  • Assist with the preparation of training facilities before, during and after training.
  • Maintain inventory for training clothing items.
  • Notify accounting department regarding charges for training.
  • Communicate with training attendees following classes to ensure any post-training requirements are completed.
  • Record/Maintain training history for individual participants and partner locations.

Training Responsibilities:

  • Oversee the administrative tasks of the training processes from the initial signing stage through post-launch.
  • Ensure all necessary tasks have been completed prior to training including but not limited to providing registration links to participants, maintaining class lists and participants training history, ensuring participants have received pre- training and post-training documents/lists/training (when applicable) and that NDAs have been executed for all participants.
  • Distribute training schedules and meeting invitations to participants and presenters prior to training week(s); communicate known scheduling conflicts to Director of Training.
  • For virtual training sessions, ensure participants have purchased all required materials for remote learning.
  • Assist participants throughout the registration process and provide support leading up to training.
  • Establish a strong working relationship with training participants prior to training week(s), ensuring appropriate arrangements have been made for transportation, lodging and any other reasonable accommodations while participants are present.
  • Coordinate a pre-training group check-in call with training attendees to review specific topics related to their upcoming training.
  • Build on established relationships with training participants throughout training week(s) by assisting them with any needs they may have.
  • Coordinate set-up and maintain refreshment stations at various training locations throughout the day while trainees are present.
  • Assist with the cleanup and refreshing of training spaces throughout the day.
  • Coordinate & assist with setup and cleanup of training lunches.
  • Assign available home office staff to assist with this effort.
  • Assist in the organization and administration of any regional or off-site training programs.
