Lawelawe is seeking a highly skilled Sr. Accounting Specialist with a focus in accounts payable, receivables, and travel to join our Corporate Finance team. The Accounting Specialists is responsible for the processing of all disbursements applicable to accounts payable, receivables, and travel/expense reimbursements to ensure compliance and prompt payments to vendor and employees.

To be successful as our new Accounting Specialist, you should have strong numeracy skills, obsessed with attention to detail, capable of multitasking, and fluent in all thing’s disbursements. Ultimately, you should be able to process all disbursement transaction timely and in an accurate manner.

This position will report directly to the Lawelawe Finance Director.

Duties and Responsibilities:

• The AP/AR Specialist will be a trusted contributor of the accounting and finance team

• Within finance, the AP/AR Specialist will be responsible for processing all invoices received for payment and for undertaking the payment of all vendors in an accurate, efficient, and timely manner

• Monitor all incoming receivables through multiple government payment systems

• Responsible for processing and posting all incoming and outgoing payments and management of bank accounts, credit cards, wire transfers, etc.

• Respond to external vendors and internal managers regarding all aspects of the accounts payable process, including processing invoices for payment, recording sales tax, assisting with bank reconciliations

• Research information to provide accurate and timely solutions to internal clients and vendors at multiple locations and companies

• Request outstanding vendor invoices to ensure all costs is captured and recorded in the appropriate accounting period

• Schedule payments to vendors on a routine schedule, gather supporting documentation payment backup for review by the Director of Finance

• Inspect paid and unpaid invoices including cleared payment inquiries and check voiding to maintain accurate files and records according to company standards

• Verify and ensure the accuracy of vendor invoices are authorization posted to the appropriate contract, project, overhead or general administration account and includes sufficient contracts and documentation

• Maintain a filing system for financial information, records, and documents to ensure easily available information for periodic audits

• Monitor account balances, track expenses, prepare analyses of accounts and related financial activity to assist in producing monthly financial reports

• Manage credit card purchases by entering coding and reconciling transactions on weekly and monthly basis

• Manage and process travel and employee expense reimbursements and maintain all invoices and receipts

• Maintain customer support documentation for monthly contractual billings to be uploaded in support of the invoice

• Setup and manage new customers and vendors in accounting software system for approval

• Contact customers to follow up on any unpaid invoices prior to due date and weekly until paid before escalation to Finance Director

• Assist with month end close of accruals of unpaid invoices, pending credit card charges, etc.

• Primary point of contact for all accounts payable, receivable travel auditors, including gathering data, creating and running reports, documenting process steps, participating and leading walk throughs and responding to audit questions.

• Complete other related duties as assigned

Qualifications:

• At minimum, an associate degree in accounting or finance

• 4-6 years of experience with AP/AR, collections, and invoicing

• With at least 2 year of accounting experience required.

• Ability to work independently and as part of a team

• Excellent verbal, written, and interpersonal communication skills

• Strong attention to detail with a dedication to accuracy

• Exhibit a fundamental understanding of debits and credits

• High degree of familiarity with AP/AR or banking functions

• Experience with Microsoft Excel, Word, PowerPoint, Adobe Acrobat, Deltek Costpoint, WAWF, and IPP systems

Education and Experience:

• High school diploma or equivalent required

• Minimum of 4-6 years of payroll experience required

• With at least 2 year of accounting experience required
