As the Venue Sales and Flagship Coordinator, you will be the first point of contact for visitors and clients at our Fernandina Beach Summer House Office. You will manage administrative tasks while also actively engaging in sales efforts to promote and book our venue for events, meetings, and gatherings. This role requires exceptional customer service skills, strong organizational abilities, and a proactive approach to sales.

Key Responsibilities:

  1. Reception Duties:

    • Greet visitors and clients in a professional and friendly manner.

    • Answer incoming calls and redirect them appropriately.

    • Manage mail and email correspondence and inquiries.

    • Maintain cleanliness and tidiness of the Summer House Office 

  2. Administrative Tasks:

    • Assist with scheduling appointments and meetings.

    • Maintain office supplies inventory and place orders when necessary.

    • Assist with data entry and maintaining records.

    • Assist with gathering social media content and posts 

  3. Venue Sales:

    • Actively promote the venue's facilities and services to potential clients.

    • Respond to inquiries regarding venue availability, pricing, and amenities.

    • Conduct tours of the venue for potential clients.

    • Negotiate and finalize contracts for venue bookings.

    • Collaborate with the marketing team to develop promotional materials and campaigns.

    • Build and maintain relationships with clients to encourage repeat business and referrals.

  4. Event Coordination Support:

    • Assist in coordinating logistics for events booked at the venue.

    • Communicate effectively with clients to ensure their needs are met.

    • Coordinate with other staff members to ensure smooth execution of events

Qualifications: 

  • Previous experience in receptionist or customer service roles preferred.

  • Strong communication and interpersonal skills.

  • Proven sales experience, with the ability to meet and exceed sales targets.

  • Excellent organizational and time management abilities.

  • Proficiency in Google Suite and CRM software.

  • Ability to work independently and as part of a team.

  • Flexibility to work evenings and weekends as required for events.

This job description outlines the primary duties and qualifications for the Venue Sales and Flagship Coordinator position and will include other duties as assigned. The successful candidate will play a vital role in providing excellent customer service, driving sales, and ensuring the smooth operation of our Fernandina Beach Office. The primary work schedule for this position is Monday through Friday from 8:30 am to 5:00 pm at the Summer House Office. However, due to the demand of event hours, there may be flexibility in the schedule, with the opportunity for flex hours. It's noted that while a flex schedule may be considered, the main schedule remains Monday through Friday from 8:30 am to 5:00 pm, and remote work is not an option. Additionally, this position offers the opportunity to earn commission.
