As a Project / Production Manager, you will support and maintain relationships with new and existing clients while executing a variety of programs, projects, and activations. Working with the account and operations teams, you will coordinate services and strategies to successfully accomplish client and organizational goals. Employing strong communication and organizational skills, you will be involved with everything from the proposal, estimate, budget, staffing, on-site management, and event close-out.

The successful candidate will be a high-energy team player with strong communication skills and an understanding of program management. The role will primarily be performed on-site in our Rochester Hills, MI off or our Perrysburg, OH location. No two days are the same in the world of events, so you will also need a willingness to dive in, think on your feet, and sometimes just figure things out.

Responsibilities will include:

  • Plan, direct, control, monitor and support programs to ensure satisfactory completion of the program objectives
  • Develop effective, proactive solutions to program challenges and client requirements
  • Build, manage, and maintain program timelines; plan for pre and post event activities and event schedules and run of show
  • Manage changes in scope, taking responsibility to keep projects in budget and on time
  • Source, schedule, and manage staff for programs and activations
  • Facilitate the flow of work activity through all phases of execution
  • Launch and lead production kick-off meetings, identifying key participants and establishing project/production timelines and program production flow
  • Review job tasks to ensure all job details and deliverables are maintained and communicated to internal and external clients throughout the program
  • Identify, document, and plan/schedule all required purchased services for each program
  • Maintain and review program budgets in alignment with organizational and client guidelines; manage & track change orders and budgets on an ongoing basis
  • Approve and assign financial codes and work with Finance to invoice client as required
  • Review & confirm readers, and obtain agreement and approval / complete and process sign shop forms
  • Secure insurance certifications and information for clients, events, vehicles, vendors, etc.
  • Administer and plan for all program training (binders, itineraries, travel, etc.)
  • Plan for pre and post logistic activities, coordination and documentation; produce event schedules / run of show, if applicable
  • Create / support pre and post load out documentation of tour equipment; provide all load lists and final inspections
  • Provide formal shipping requests and materials to Mobile Shop in a timely fashion
  • Review, complete, and distribute post event reports to Account Team and track program performance details, if applicable
  • Implement safety standards and regulations; be accountable / ensure that others on site are following safety standards
  • Other duties as assigned/required

Requirements include:

  • BA / BS in Communications, Business, Marketing, or related field or equivalent experience
  • 3-5 years of experience in planning, organizing, staffing, and routing events
  • Strong MS Office skills - specifically MS Word, Excel, and PowerPoint
  • Excellent organizational skills
  • Strong verbal and written communication skills
  • Ability to multi-task and adapt quickly to shifting priorities
  • Ability to travel between 5% - 10% depending on the teams you are aligned with
  • Experience in creating and managing estimates, program budgets, and timelines
  • Previous experience with inventory/asset management, purchasing, and graphic production a plus
  • General understanding of electrical, mechanical, carpentry, and construction elements of displays & exhibits a plus
