Job DescriptionJob Description

Jon Bye & Associates is seeking a Real Estate Coordinator to join our dynamic team The right candidate will manage all aspects of getting a real estate listing market-ready, from preparation through to closing. This includes handling contracts, communicating with key parties, and ensuring a smooth transaction process for every client.

Essential Duties and Responsibilities include (but are not limited to):

  • Prepare listings for the market by coordinating with photographers, stagers, and other vendors to ensure properties are showcased at their best.
  • Organize and review listing agreements, seller disclosures, and other essential documentation for accuracy and compliance.
  • Communicate regularly with sales staff, title, escrow, lenders, contractors, and others to ensure a seamless process from listing to closing.
  • Coordinate showing schedules and open houses with agents and clients.
  • Track and update listing statuses on multiple platforms, including MLS.
  • Provide weekly updates to clients and agents, ensuring everyone is informed throughout the transaction.
  • Assist in setting up and maintaining marketing materials for listings (flyers, social media posts, etc.).
  • Manage and monitor contract timelines, ensuring all deadlines are met.
  • Prepare closing documents and coordinate with all parties to ensure a timely closing.
  • Maintain and update the contingency deadline calendar daily.
  • Troubleshoot and research any issues that may arise during the process.

Education and Experience:

  • High school diploma or GED required
  • Real estate license preferred but not required at time of hire. RE license will be required in the first 90 days. Licensing education will be provided.
  • Strong organizational and communication skills
  • Proficiency in Microsoft Office Suite and email
  • Familiarity with MLS platforms and real estate marketing tools is a plus
  • Ability to apply common sense to resolve challenges and follow through on tasks
