Responsibilities:

Warehouse Operations
  • Developing and implementing warehouse procedures in accordance with OSHA and other regulatory agencies.
  • Organizing and maintaining the warehouse with stock locations.
  • Ensuring general cleaning and maintenance of warehouse spaces. Logistics of Automotive Goods and Parts
  • Overseeing the logistics of automotive goods and parts nationally and internationally, both inbound and outbound, and ensuring correct documentation is maintained.
  • Inspecting parts upon delivery to ensure specification matches the specification ordered and no damage is present.
  • Reconciliation of purchase invoices.
  • Liaising with suppliers regarding procurement of stock for fitment, events, domestic and international shipment.
  • Overseeing minimum and maximum stock levels on site and insuring that the Company is sufficiently prepared to meet supply and demand.
  • Identifying and managing aged stock.
  • Carrying out full stock checks bi-annually.
  • Managing and recording warranty returns with both customers & suppliers.
  • Overseeing the collection and delivery of goods and parts in conjunction with national & international courier services.
  • Issuing parts to workshop team and ensuring they have been recorded against specific repair orders.
  • Creating invoices from repair orders once jobs have been completed.
Customer Liaison
  • Managing the sale of selected parts via online store / eBay.
  • Liaising with customers regarding the sale or delivery of new or replacement automotive parts.
  • Processing customer orders following the sale of new or replacement automotive parts.
  • Ensuring payment is received prior to dispatching goods and / or that a customer account is not on stop due to any historic debt.
  • Overseeing the efficient dispatch of customer orders and informing them of any delays or issues that may arise.
  • Managing customers expectations on any issues that may arise.
  • Keeping the Vice President and Business Manager informed of any serious issues.

Systems Maintenance
  • Maintaining parts and inventory records, customer records, supplier records and sales ledger records in the company DMS system.

Supplier Liaison
  • Identifying, engaging and maintaining relationships with local and national suppliers to procure required items including but not limited to service items, packaging and miscellaneous parts.
  • Reviewing supplier accounts to verify accuracy of invoices, competitive pricing and compliance with the Company requirements and specifications.
  • Liaising with suppliers to identify and resolve any issues / inadequacies.
  • When unable to resolve disputes with suppliers, liaising with the Company Legal Team to take further action.
  • Arranging alternative supplier channels in the event of any disputes.

Any Other Duties As and When Required
Any other duties as and when required by the Company, Business Manager and / or Vice President, including but not limited to:
  • Ensuring general site maintenance is carried out.
  • Assisting with other operational issues as and when required during the infantile stages of the business.
  • Working off-site on occasion, both domestically and internationally, at a Customer or another business premises.
  • Carrying out work in line with Company policies.

Requirements:
  • A high school diploma.
  • 3-5 years of logistics and distribution experience.
  • International logistics experience including customs and duties.
  • OSHA, First Aid and Forklift Operator certifications.
  • Must be able to safely lift 70 lbs. Manual handling training is desirable.
  • Progressive experience of managing staff.
  • An ability to see the bigger picture with an understanding of chain reactions and the importance of forward planning.
    • A high level of integrity, the ability to build consensus and put a strong emphasis on responsibility and accountability.
    • Skills in planning, organizing, directing and coordinating a wide variety of activities.
  • Knowledge of Microsoft Office and database systems.
  • Knowledge and experience with common carrier systems for both international and domestic shipping and receiving of automotive goods and services.
  • Capable financial and numeracy skills.
  • Confident and concise communication skills.
  • Tactful negotiation skills.
  • An ability to abide by company health and safety practices.
  • Applicant must be a US Citizen or be authorized to work in the US without Company sponsorship.
  • Applicant must hold a valid drivers license and have reliable transportation.
