Project Manager

Total Site Solutions (TSS) is looking for an enthusiastic individual to join our skilled team in Round Rock, TX as a Project Manager. This key role involves assisting Senior Program Managers and Directors in the thorough planning, execution, and tracking of various projects. You will play a crucial role in defining project scopes, selecting and coordinating subcontractors, preparing detailed subcontracts and purchase orders, and closely monitoring customer needs. Additionally, you will be responsible for managing the preparation of close-out documentation to ensure projects conclude efficiently. Your duties will also include managing communications with stakeholders and working to enhance stakeholder engagement, ensuring they are aware of project activities, progress, exceptions, and involved in major decisions. You will analyze program risks, develop contingency plans, and manage the resolution of issues as they arise throughout the program lifecycle. Your role also involves implementing and managing changes and interventions to ensure project goals are achieved. You will meet with stakeholders to make communication easy and transparent regarding project issues and service decisions. Furthermore, you will be tasked with producing accurate and timely reporting of program status throughout its life cycle to management and stakeholders. The ability to effectively communicate with leaders, engage with customers and sales representatives, and coordinate project activities to meet customer timelines is essential. Responsibilities

  • Assist Sr. Program Manager with project planning while effectively and positively managing customer and stakeholder relationships.
  • Assist Sr. Program Manager in ensuring our clients have an exceptional customer service experience.
  • Review and/or assist the Sr. Program Manager with the scope of work, quoting, and terms and conditions prior to proposal submission.
  • Provide a pulse on budgetary audits and any challenges while ensuring cross-functional resources are collaborated with to ensure the project's health.
  • Assist the Sr. Program Manager with formal internal project kickoff meetings with key stakeholders (i.e., accounting, business development, and sales professionals) and document meeting minutes.
  • Assist the Sr. Program Manager in resolving contract challenges.
  • Coordinate program and project activities with all operational staff across department lines.
  • Work with facilities teams as needed and ensure that client equipment lists and other related customer data are accurate and up to date by working closely with the NOC and site teams.
  • Assist Sr. Program Manager in invoice approval by managing supporting documentation and first-line approvals.
  • Assist the Sr. Program Manager with the development and preparation of change orders.
  • Coordinate work priorities as directed by the Sr. Program Manager.
  • Prepare submittal, startup packages, and close-out documentation as required for specific programs and projects.
  • As directed by the Sr. Program Manager, the Project Manager assists with the following:
    • Vendor and subcontractor selections.
    • Preparation of sub-contracts and purchase orders.
    • Internal kick-off meeting and documentation.
    • Customer kick-off meetings and progress meetings.
    • Scope clarifications and customer change orders as requested.
    • Project close-out meetings: Identifying, tracking, organizing, and preparing project close-out documentation for the Sr. Program Manager's review.
    • Method of Procedure requirement identification, development, submission, approval, tracking, and documentation.
    • Incident Report preparation and follow-up as directed.
  • The preparation of program and project schedules in Microsoft Project.
  • Develop Skills in our own TMMS systems.
  • Input project information into Salesforce.
  • Assist in internal financial calls for financial reporting.
  • Follow FM, design, and construction standards and criteria for execution of work by company personnel and contractors.
  • Follow company safety and quality assurance programs for all design and construction services.


Skills


  • Working knowledge of the content and scope of project services to be provided.
  • Understands the basic techniques and methods of account/project management, including planning and control methods.
  • Ability to assist in the planning, implementation, execution, and documentation of quality services throughout the project cycle.
  • Has participated as a team member of a highly effective project team(s).
  • Strong oral and written communication skills.


Qualifications

  • A Bachelor’s degree (BS / BA) in business, mechanical or electrical engineering, or a related field and/or 5 years experience in a similar position.
  • Experienced as a leader or team member in the development of technical or engineered projects.
  • Strong working knowledge of Computerized Maintenance and Management Systems.
  • Working knowledge of Accounting Software, preferably Timberline and Salesforce.
  • Strong knowledge and extensive use of Microsoft Project and Microsoft Office products.
  • Possession of certifications such as Project Management Professional (PMP), Certified ScrumMaster (CSM), PRINCE2, or Certified Associate in Project Management (CAPM) is highly desirable.
