Job DescriptionJob Description

The Controller reports to the Chief Financial Officer and is responsible for financial reporting, cash forecasts, annual external audits, accounts receivable (very minimal), accounts payable, payroll, and record maintenance for applicable entities. The ideal candidate is a results driven and oriented, hands-on professional with the ability to deal effectively and interact well with customers, subcontractors, vendors, and
employees. The candidate should have the ability to resolve problems and conflicts in a diplomatic and tactful manner.

The Controller will assess current accounting operations and offer recommendations for improvement and implementation of new processes and make tangible improvements towards automation of repeatable, low-value and mundane tasks in accounting. The Controller will champion data-driven decision making in the company and closely monitor company financial health, performance and provide recommended actions to increase company profitability.

Responsibilities & Duties

Financial Reporting

- Produce financial status reports for senior management to aid in improvement of operational efficiency and company growth
- Provide financial analyses as required for capital investment, cost pricing decisions and customer acquisition cost
- General ledger consolidations for income statements, balance sheets, and cash flow statements
- Variance analyses (to budget/forecast/PY)
- Provide incisive commentary as required for timely decision-making required to affect positive change
- Account reconciliations
- Lead GL account bank reconciliations
- Prepare accurate and succinct descriptions of key variances identified
- Recommend improvements to ensure the integrity of companys financial information systems
- Managing the accumulation and consolidation of all financial data necessary for an accurate accounting of consolidated business results
- Provide necessary tools reports to management to ensure team is able to track and hit financial objectives and understand variances from them

Treasury
- Prepare weekly cash flow forecasts
- Weekly review with of CFO of 13 week cash flow forecast
- Analysis of variations from prior 13 week cash flow forecast as considerations for and footnotes to latest cash flow forecast

- Daily treasury management to ensure adequate account balances 

Fixed Assets
- Perform monthly review of software development programs
- Manage software development costs per ASC 985-20
- Manage software development costs per ASC 350-40
- Maintain software asset schedule with life, cost and implementation date details
- Maintain fixed asset schedules

Service Contract Management
- Work with IT and Customer Service to ensure they maintain customer and vendor service contracts
- Track renewal dates & cost changes

Taxes
- Sales Use Taxes
- Manage Avalara reporting
- Analysis, Returns Reporting
- Business Occupations Taxes Where applicable
- Property Taxes Returns (Minimal)
- Analysis, Returns Reporting
- Fixed asset retention analyses to optimize tax
- Income Tax Returns
- Work with CPA firm in tax preparation

External Financial Audits
- Manage annual financial audit process

- Hold kick off meeting to start process and set expectations and cadence
- Assign specific schedules due dates to appropriate departments
- Update audit firm’s schedule assignment status
- Calls as needed with CFO and audit firm to review status

Payroll
- Review of bi-weekly / weekly payroll
- Oversee audits of hourly time capture
- Reconciliation of payroll to benefits
- Work with department
- Oversee processing of weekly payroll entries

ERP System
- Work with IT to ensure system integrates properly with AP, sales tax and other outside modules
- Work with CFO and CIO to ensure proper segregation of duties

Accounts Receivable & Billing
- Oversight of the accounts receivable processes
- Provide reports and analysis to the senior leadership team
- Work with customer service manager to establish appropriate reserves for credit card billings
 

Accounts Payable
- Oversight of the accounts payable and accounts receivable processes
- Audit of PO process
- Audit invoice entry to A/P system
- Processing of supplier payments
- Administration of automatic payments
- Reconciliation of supplier statements
- Process intercompany billings
- Administration of corporate credit card charges

Skills, Education & Experience
- BS/BA degree with emphasis in Accounting. MBA with Accounting or Finance emphasis or CPA highly desirable
- 5+ years’ experience as controller (in professional environment with annual external audits and revenues of $40 million or more)
- Strong proficiency with Microsoft Office Suite, including advanced MS Excel 
- SaaS industry experience preferred
- Supervision and training of department of three or more staff members
- Sage Intact ERP, Zurora billing, and Avalara sale tax system experience a plus
- Desire to learn and grow
- Experience working in a hybrid or virtual environment
- Able to quickly acquire, absorb and understand new information
