Job Description:

As the Office Manager, you will play a crucial role in the smooth operation of our office. You will be responsible for managing administrative tasks, ensuring efficient office operations, and providing support to our team. This position requires a proactive individual with excellent organizational skills and the ability to handle multiple tasks simultaneously.

 

Responsibilities:

  • Oversee accounts payable and accounts receivable processes
  • Administer payroll functions, ensuring accuracy and timeliness
  • Design and implement effective filing systems to streamline document retrieval
  • Utilize QuickBooks for accurate and efficient management of financial transactions
  • Oversee daily office operations and ensure efficient functioning of office equipment and supplies
  • Manage office communications, including answering phone calls and responding to emails
  • Coordinate meetings, appointments, and travel arrangements
  • Maintain office records, including personnel files and confidential documents
  • Handle basic bookkeeping tasks, including invoicing and expense tracking
  • Assist in the preparation of reports, presentations, and correspondence
  • Support HR functions, such as onboarding new employees and maintaining employee records
  • Liaise with vendors, clients, and contractors as needed
  • Perform other administrative duties as required to support the team

Qualifications:

  • REQUIRED: 2 years minimum experience using QuickBooks for financial management
  • AIA Billing & New Construction Project Billing  1-2 years experience preferred
  • Proficiency in accounts payable, accounts receivable, and payroll processes
  • Proven experience as an Office Manager or in a similar administrative role
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Basic knowledge of bookkeeping and office management procedures
  • Ability to handle sensitive information with discretion and confidentiality
  • Strong problem-solving skills and attention to detail
  • Ability to work independently and as part of a team
  • High school diploma or equivalent; additional qualifications in office administration are a plus
