We pride ourselves on delivering exceptional products and services to our clients, and we are looking for a dedicated Office Manager to join our team and help us maintain our commitment to excellence.
Job Description:
As the Office Manager, you will play a crucial role in the smooth operation of our office. You will be responsible for managing administrative tasks, ensuring efficient office operations, and providing support to our team. This position requires a proactive individual with excellent organizational skills and the ability to handle multiple tasks simultaneously.
Responsibilities:
- Oversee accounts payable and accounts receivable processes
- Administer payroll functions, ensuring accuracy and timeliness
- Design and implement effective filing systems to streamline document retrieval
- Utilize QuickBooks for accurate and efficient management of financial transactions
- Oversee daily office operations and ensure efficient functioning of office equipment and supplies
- Manage office communications, including answering phone calls and responding to emails
- Coordinate meetings, appointments, and travel arrangements
- Maintain office records, including personnel files and confidential documents
- Handle basic bookkeeping tasks, including invoicing and expense tracking
- Assist in the preparation of reports, presentations, and correspondence
- Support HR functions, such as onboarding new employees and maintaining employee records
- Liaise with vendors, clients, and contractors as needed
- Perform other administrative duties as required to support the team
Qualifications:
- REQUIRED: 2 years minimum experience using QuickBooks for financial management
- AIA Billing & New Construction Project Billing 1-2 years experience preferred
- Proficiency in accounts payable, accounts receivable, and payroll processes
- Proven experience as an Office Manager or in a similar administrative role
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Basic knowledge of bookkeeping and office management procedures
- Ability to handle sensitive information with discretion and confidentiality
- Strong problem-solving skills and attention to detail
- Ability to work independently and as part of a team
- High school diploma or equivalent; additional qualifications in office administration are a plus
