We are seeking a Project Coordinator (Construction) to join our team You will provide administrative support for Project Manager and Executives at our company.
Responsibilities:
- Handle administrative needs for Project Managers & Executive
- Arrange conference calls and meetings
- Plan work-related travel details
- Assist PMs with management tasks, such as maintenance of Pronto metrics and work planning
- Track and monitor project budgets, workloads and schedules, update project files
- Actively participate in project reviews
- Perform Document control tasks and manage project documents and files
- Project logistics
- Subcontract administration’ working with complex contracts and sub-agreements
- Answer questions regarding company policies, procedures and guidelines
- Apply company quality assurance guidelines and procedures, and independently monitor for quality assurance
- Comfortable working independently and in a team environment to effectively manage complex project- and executive-level paper and electronic files, documents and records
- Compose and develop correspondence and reports
- Organize and coordinate meetings, and assist with presentations
- Exhibit professionalism with clients
- Work closely with multiple Project Managers and project teams
- Exercise good judgement and discretion, and independently resolve problems and issues relating to the coordination and administration of project functions
- Assist with client invoicing, project budgets and ensure compliance with project contractual obligations as needed
- AR tracking
- RFI and submittal processing
- Deliverable coordination
- Organize and coordinate meetings, and assist with presentations
- Assist with analysis and updating of Rolling Forecasts
- Receive visitors
- Train and supervise lower-level clerical staff
- Maintain and order supplies
Qualifications:
- 5-years previous administrative experience; any construction admin is a plus
- Strong organizational skills
- Ability to prioritize and multitask
- Strong attention to detail
