Position Summary:
Seeking a detail-oriented and proactive Wealth Advisor Administrative Assistant to join the team. This role supports the Wealth Advisor by managing administrative tasks, performing data entry, and assisting with current client issues. The ideal candidate will have strong organizational skills, excellent communication abilities, and the capacity to manage multiple tasks at once. Must be self motivated and able to stay on task independently.
Key Responsibilities:
Administrative Support:
Assist Wealth Advisors with daily administrative tasks, including managing schedules, organizing meetings, and preparing documentation for current and future clients.
Handle correspondence and communication on behalf of the Wealth Advisor, including emails, phone calls, and client inquiries.
Prepare and process client forms, applications, and account documentation.
Maintain and update client files, ensuring all information is accurate and confidential.
Data Entry:
Accurately enter and update client data into multiple CRM systems and other databases.
Ensure data integrity by regularly auditing entries and resolving discrepancies.
Compile, sort, and verify the accuracy of data before it is entered.
Client Support:
Act as a primary point of contact for clients, providing timely and professional assistance with inquiries, account updates, and other needs.
Address and resolve client issues or escalate them, as needed.
Follow up with clients on pending items, ensuring they are informed and satisfied with the progress of their requests.
Qualifications:
Education: High School Diploma or equivalent required; Associate's or Bachelor's degree in Business, Finance, or related field preferred, but not necessary.
Experience:
Preferred minimum of 2 years of experience in an administrative support role, preferably in financial services or wealth management.
Experience in data entry with a high level of accuracy and attention to detail.
Familiarity with CRM systems, financial software, and standard office applications (e.g., Microsoft Office Suite).
Skills:
Strong organizational and time management abilities.
Excellent verbal and written communication skills.
Ability to handle sensitive client information with confidentiality and professionalism.
Problem-solving skills and the ability to handle client concerns with empathy and efficiency.
Ability to work independently, as well as part of a team in a dynamic environment.
