Position Summary:

As an Operations Coordinator at Outgage, you will play a crucial role in ensuring the smooth execution of all operational processes. You will be responsible for coordinating various tasks related to gift marketing campaigns, from order processing and inventory management to logistics coordination. This position requires a detail-oriented individual with excellent organizational skills and a proactive mindset.

Key Responsibilities:

  • Order Processing and Fulfillment:
  • Confirm proposal/campaign feasibility; timeline, budget, inventory and special requests.
  • Efficiently process incoming orders and ensure accurate fulfillment of customized gift packages.
  • Collaborate with the Customer Success team to prioritize and manage order timelines.
  • Monitor and manage inventory levels to prevent stock-outs and overages.

Logistics Coordination:

  • Coordinate with shipping carriers to ensure timely and cost-effective delivery of gift packages.
  • Track shipments and troubleshoot any delivery issues to ensure a positive customer experience.
  • Optimize shipping processes to minimize costs and enhance efficiency.
  • Contact and address management processing and communication with Customer Success to reduce returns and errors.

Quality Control:

  • Implement and oversee quality control measures to maintain the highest standards in gift and packaging.
  • Address any quality concerns promptly and work with the team to implement improvements.
  • Project manage campaigns from handoff from Customer Success through Fulfillment completion.

Communication and Collaboration:

  • Act as a liaison between various departments, including sales, marketing, and production.
  • Communicate order status and updates to relevant stakeholders.
  • Collaborate with the Customer Success team to gather customer requirements and preferences for customization.
  • Data Analysis and Reporting:
    • Track key performance indicators (KPIs) related to operations.
    • Generate regular reports to provide insights into order fulfillment efficiency, inventory levels, and shipping performance.
    • Identify areas for improvement and implement strategies to enhance overall operations.

Qualifications:

  • Education level - High School necessary, preferably bachelor's degree
  • Proven experience in operations coordination, preferably in a fulfillment or logistics environment - ideally in the promotional product industry.
  • Strong organizational and multitasking skills with a keen attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficient in using software and tools for order processing, inventory management, and data analysis.
  • Ability to thrive in a fast-paced and dynamic work environment.
