POSITION PURPOSE

This position works closely with students and staff to coordinate the 11-sport Club Sports Program and serves as a key part of the Athletics Facilities/Events Management staff.


PRINCIPAL ACCOUNTABILITIES


CLUB SPORTS

  • Oversee the Club Sports Program, providing leadership and support regarding decision-making, responsibility, organizational dynamics, teamwork, conflict resolution, and creating a positive culture. 
  • Coordinate the supervision, scheduling, and planning of fields and facilities for Club Sport practices and competitive events.
  • Oversee and monitor the budget and all financial operations of the Club Sports Program. Determine the distribution of resources to Club Sports budgets with the Club Sport Committee.
  • Work in conjunction with the athletic trainer to ensure that all Club Sport athletes receive concussion baseline testing.
  • Maintain, update, and reinforce the policies contained in the Club Sports Manual.
  • Guide student club leaders in managing their programs and budgets; assist teams with equipment and travel-related purchases, including vehicle rental and lodging reservations.
  • Review and approve team travel itineraries. Review and approve reimbursement paperwork prior to processing.
  • Coordinate the College travel safety plan; provide phone numbers for teams to contact in the event of a travel emergency.


ASSISTANT EVENT MANAGEMENT

  • Work directly with the Director of Facilities and Event Management to assist in managing and supervising Whitman College game-day events in all athletic facilities as assigned, including, but not limited to, athletics home events, college events, alumni, student gatherings, and external rentals.  
  • Work as a member of the team in the Whitman athletic department and supports the goals, objectives, philosophies, and procedures of the department and the College. Contribute to the overall atmosphere of the department through establishing positive, team-oriented working relationships with peers.  
  • Work in conjunction with coaches and facilities staff on the preparation, set-up, and supervision of events including campus events and indoor and outdoor competitive events.  
  • Work collaboratively with the athletics staff to schedule facility needs, including practice time requests and home events to ensure that the calendaring system is completed/updated in a timely manner.


STUDENT EMPLOYMENT COORDINATOR

  • Work collaboratively with the Director of Sports Performance/Baker Ferguson Fitness Center (BFFC) and the Director of Facilities and Event Management on the hiring of student workers for operations and event coverage throughout the year.
  • Effectively oversee student employment staff as well as the general building student staff to include, advertising, interviewing, hiring, training, scheduling, supervising and evaluating student workers.
  • Oversee student employment at the BFFC, Sherwood, and all Game and Event needs.
  • Incorporate training for student work staff pertaining to policy information, membership policies, emergency protocol, and any additional information pertinent to the operations of the facilities.

Must be able to explain and/or demonstrate possession of the knowledge, skills, and abilities to safely perform the essential functions of the job, with or without reasonable accommodation. Specifically,


  • Demonstrated ability to work effectively with staff, faculty, students, parents, and alumni from diverse ethnic, cultural and socioeconomic backgrounds.
  • Ability to schedule, coordinate and supervise athletic facilities and events. 
  • Demonstrated knowledge and ability to work within the framework of Whitman College policies, Northwest Conference (NWC) regulations, and NCAA Division III philosophy, rules, and championships.
  • Ability to positively and actively contribute to the College’s core values of diversity, equity, inclusion, antiracism and accessibility.
  • Proficiency in computer-based technology, including scheduling software.
  • Effective and excellent leadership.
  • Strong organizational skills
  • Excellent interpersonal and communication skills.


MINIMUM QUALIFICATIONS

  • Bachelor’s degree from an accredited institution. 
  • Must be able to work a flexible schedule, including nights and weekends.
