Responsibilities and Duties
BILLING
•    Administration of AIA monthly requisitions for public projects which includes billing agreements online using Textura, Bill Commercial, Residential, and Private Projects. Identify any discrepancies to assure that they are billed in accordance with contract terms.
•    Maintain all customer contact information and billing records.
•    Monthly Work In Process and labor reports
•    Communicate regularly with clients to reconcile accounts to identify and resolve billing issues.
•    Help to create and refine policies and processes to ensure integrity of records and accurate invoicing.
Partner with accounting members, project managers and sales in a collaborative team environment to facilitate billing and other functions as needed. Contracts
•    Review Contracts for Public and Commercial Projects.
•    Process and Log all Change Orders.
Review Insurance Requirements and order Certificates of Insurance
•    Obtain Subcontractors Certificates of Insurance and maintain records
•    Track and administer contract renewals and expirations
•    Act as Liaison with sub-contractor regarding contracts.
•    Obtain Tax exempt forms and maintain records
•    Maintain paper and electronic filing system for contracts.
•    Obtain and maintain records of bonds on applicable projects
•    Obtain specifications and set up electronic record in accounting system
•    QUALIFICATIONS and SKILLS
•    Experience in the construction/manufacturing of service industry with understanding of retention/retainage, and AIA project billing requirements.
•    Strong verbal and written communication skills, problem solving and analytical skills.
•    Ability to work both independently and collaboratively.
•    Ability to adapt to a fast-changing environment.
•    Self-disciplined and capable of identifying and completing critical tasks with a sense of urgency.
•    Handle projects responsibly, take initiative and achieve results.
•    Proficiency in Microsoft Office including Excel and Word.
•    Proficiency with accounting and billing software
•    Knowledge of CF Data Construction a plus, but not mandatory.
•    Strong interpersonal skills and the ability to apply tact and diplomacy.
