Job Description:

The Office Administrator will be responsible for overseeing the day-to-day administrative operations of our office. This role is critical in ensuring the smooth running of office activities and providing support to the management and team members. The ideal candidate will be organized, detail-oriented, and possess excellent communication skills.

Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the management team, including scheduling meetings, managing calendars, and coordinating travel arrangements.
  • Office Management: Oversee general office operations, including maintaining office supplies, managing office equipment, and ensuring a clean and organized work environment.
  • Communication: Serve as the primary point of contact for internal and external communications, including answering phone calls, responding to emails, and handling inquiries.
  • Documentation: Draft correspondences and other formal documents. Prepare and manage reports and other necessary paperwork. Maintain and update company records and databases.
  • Human Resources Support: Assist with HR functions such as onboarding new employees, maintaining personnel records, and coordinating staff training sessions.
  • Event Coordination: Plan and organize company events, meetings, and conferences.
  • Financial Tasks: Assist with basic financial tasks such as processing invoices, expense reports, and handling petty cash.
  • Accounts Payable and Receivable: Manage accounts payable and receivable processes, including invoicing, processing payments, and reconciling accounts. Ensure timely and accurate recording of financial transactions and communicate with vendors and clients regarding payment statuses.
  • Customer Service: Greet and assist onsite guests. Provide exceptional customer service to clients and visitors, ensuring a positive experience with our company.
  • Filing Systems: Develop and implement organized filing systems to maintain efficient and orderly records.
  • General Office Tasks: Perform all other office tasks to support company success.

Qualifications:

  • Proven experience as an Office Administrator, Office Manager, or similar role.
  • Bachelor's degree in Business Administration, Accounting, or a related field. (nice, but not required)
  • Previous experience in office administration or other related fields.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with office management procedures and basic accounting principles.
  • Experience with accounts payable and receivable.
  • Ability to prioritize and multitask.
  • Strong attention to detail and problem-solving skills.
