Job Opportunity: Administrative Assistant for Estimating Department

About Us:

Join our team at R.E. Crawford Construction, a leading organization in the commercial construction industry. We're seeking a motivated individual to support our estimating department with administrative duties.

Position Overview:

As an Administrative Assistant, you'll work closely with our estimators and project management teams. Your role will involve handling various administrative tasks to ensure the smooth operation of procurement activities and document management.

 

Key Responsibilities:

  • Organize procurement activities, including requests for proposals, sealed bids, and price quotes.
  • Review requests for information and coordinate responses with the estimator.
  • Maintain organized computerized records of vendor and bid information.
  • Receive, open, screen, log, and organize bids for review by the estimator.
  • Update and manage the subcontractor database.
  • Perform general clerical duties such as filing, typing, data entry, and managing incoming and outgoing correspondence.
  • Correspond with vendors, landlords, facilities managers, and subcontractors as needed.
  • Manage incoming calls and make outgoing calls to support departmental needs.

 

Requirements:

  • Proficiency in using computers and standard office software, including Word, Excel, and procurement tools (e.g., Bid Scope).
  • Strong communication skills for interacting with subcontractors, vendors, and company representatives.
  • Ability to work independently with accuracy in a fast-paced environment.
  • Positive attitude and ability to maintain composure under pressure.

 

Qualifications:

  • Previous experience in administrative roles, particularly within the construction industry, is preferred.
  • Excellent organizational skills and attention to detail.
  • High school diploma or equivalent; additional certifications or training are a plus.
