SUMMARY: The Practice Administrator is responsible to oversee all the Office Managers at all EHC locations, as well as Medical Records, Call Center, and Patient Access Liaisons. The Practice Administrator is responsible for ensuring patient access to care and for ensuring patient satisfaction with services (including phones, personal interactions, etc.) across all sites.

ESSENTIAL FUNCTIONS
  1. Supervision
    • Oversee and guide operations in the clerical, medical records, call center, patient access liaison (PAL), and front desk departments
    • Supervise, coach, and provide support for 3 Office Managers, 3 Medical Records staff, Call Center Supervisor, and PALs; help set priorities and accountability measures
    • Support direct reports in disciplinary actions for members of their respective teams
  2. Operations
    • Create and maintain reporting systems to monitor phones performance, productivity, uninsured patient programs, and medical records functions.
    • Aid direct reports in creating and maintaining high-quality training programs for new hires
    • Serve as a key leader for HIPAA compliance; perform annual training to all staff to ensure most up to date best practices
    • Set goals for each department; track, analyze, and make improvements based on department metrics
    • Construct, operationalize, and evaluate in-clinic patient workflows; suggest changes to COO
    • Review and analyze all insurance-related contracts and ensure compliance for all agreements entered into by EHC and third-parties
    • Research and find solutions to out of the ordinary issues that may arise
    • Oversee and train on EHC customer service model
    • Work cross-departmentally to ensure the highest quality patient care through maintaining effective clinical workflow practices
    • Oversee operations for revenue cycle management, sliding fee scale program, and front-end billing
  3. Organizational leadership
    • Serve as a senior leader in the organization, working collaboratively with other senior leaders to maintain operational excellence
    • Serve on key committees and give input on strategic initiatives
    • Coach and mentor employees beyond departments supervised
    • Demonstrate maturity, thoughtfulness, and leadership in interactions with patients and staff; lead by example
    • Other leadership duties as requested

KNOWLEDGE, SKILLS, AND ABILITIES

  • Bachelor’s degree required. Master’s in Public Health or related field preferred
  • 3-5 years of supervision and leadership experience
  • 2 years of experience in a medical practice or institution; FQHC experience preferred
  • 3-5 years of customer-facing experience
  • Bilingual in English and Spanish preferred.
  • Demonstrated knowledge of insurances and billing practices.
  • Demonstrated ability and willingness to do hands-on work, including simple repairs and covering for staff when out.
  • Experience in problem-solving and managing change.
  • Experience in Christian ministry; exhibiting spiritual maturity and servant leadership
