In coordination with the Director of Museum Programs and team, the Programming Associate will support a range of events to engage new and existing audiences, drive gate attendance, and generate revenue. Through collaboration with multiple departments and partner organizations, events are designed to augment and activate the Museum by delivering unique cross-disciplinary experiences with the intention of educating, building community, and helping visitors to create meaningful memories through positive experiences and interactions. Events include weekend-long festivals, concerts, academic lectures, exhibition-related events, and virtual programs.


Duties will involve many administrative and physical aspects of event preparation and execution, including schedule management, marketing coordination, maintenance of event supplies, set-up and breakdown. The responsibilities of the Programming Associate will include the following:

  • Source event partners and order materials for events, including signage; manage logistics and payments
  • Collaborate with departments throughout the Museum and external partners to ensure effective communication and seamless logistics; generate ECS documents (Event Coordination Summary)
  • Assist in producing content for social media in collaboration with Marketing Department
  • Participate in post-event discussions
  • Manage conference room reservations
Requirements:
  • Ability to manage rolling deadlines, prioritize effectively, and work independently in an office environment and on the Museum grounds
  • Must be able to walk throughout 17-acre site, up and down stairs, in all weather conditions and all seasons
  • Ability to coordinate multiple tasks and events simultaneously
  • Exceptional organizational, written and verbal communication skills
  • Outgoing and comfortable interacting with Museum visitors and providing excellent customer service
  • Proficiency in Microsoft Office, Outlook, and Google Workspace
  • Must be flexible with work schedule to accommodate evening and weekend events
  • Capacity to lift up to 50 lbs.
