ABOUT MAINE REAL ESTATE MANAGEMENT (MREM)

Our customized property management services meet the specific needs of each client, including financial reporting, rent collections, cost savings plans, and leasing services. Our client roster includes condo associations, apartment complexes, offices, retail buildings, mobile home communities and single-family homes. A DAY IN THE LIFE OF A MAINTENANCE COORDINATOR

Maintenance Tech Monitoring Daily Task

  • Monitor the tech's service issues and bring discrepancies/concerns to the attention of the Maintenance Supervisor
  • Monitor overhead hours, make sure each clock in has a description/explanation.
  • Update with call-outs or early departures from work
  • Monitor service tech hours and correct discrepancies
  • Assign service issues to Techs when needed
  • Follow up with Maintenance Techs on service issues that need more work/an outside vendor
  • Ensure service issues have appropriate information and updates

Vendor/Maintenance Follow up

  • Follow up on key vendor service issues and document the service issue as needed
  • Report concerns to the Maintenance Lead or Field Tech Supervisor when needed

Assist Maintenance Supervisor as needed for same-day emergencies

New Vendor Set Up

  • Provide information to Accounting Dept that would allow for set up of new vendor accounts
  • Coordinate with Property Managers, Property Accountants, and Property Owners as needed
  • Gather W9/Insurance/Workers' Comp info. and coordinate with Property Managers

Vendor Coordination and Vendor Quotes

  • Obtain information needed to get quotes for work outside the scope of an MREM tech
  • Coordinate vendors as needed
  • Correspond with the Field Supervisor, Maintenance Supervisor, and Property Manager as needed
  • Coordinate MREM Tech/MREM Rep and Vendors as needed
  • Notify Property Managers when the cost likely to exceed a certain threshold

Monitor American Express charges and update each charge with the service issue number, description, and receipt

Property Management Liaison

  • Communicate capital maintenance needs to the Property Managers. Provide detailed reports, pictures and other information that will allow the Property Owner to make informed decisions.

QUALIFICATIONS FOR A Maintenance Coordinator

  • Basic computer skills (Microsoft Word, Excel)
  • Ability to learn a new maintenance software (Rent Manager)
  • Can perform computer tasks such as converting documents to a to a pdf file, jpeg, etc.
  • Basic knowledge of septic system and well water repairs maintenance
  • General knowledge of building maintenance and repairs, basic plumbing, electrical and structural repairs
