SUMMARY

The Director of Payroll is responsible for the overall management and administration of the company’s payroll process, systems, and organization.

REQUIREMENTS

  • Bachelor’s degree, Accounting/Finance preferred
  • Minimum of five years of payroll experience, preferably in a healthcare setting
  • Payroll systems experience, preferably in Ultipro
  • Time and attendance systems experience, preferably in Kronos
  • Strong qualitative and analytical skills with the ability to perform statistical calculation and evaluate results
  • Must be able to read, write, and speak English, as well as possess excellent communication and presentation skills

DUTIES AND RESPONSIBILITIES

  • Responsible for department’s operational excellence; ensures department delivers quality services in accordance with applicable policies, procedures, and professional standards.
    1. Develops, directs and leads all activities so that payroll functions are conducted in an efficient and effective manner
    2. Maintains departmental productivity measures; reports status monthly
  • Develops and implements department activities in a manner consistent with organization-wide programs and procedures.
    1. Develops and implements department policies and procedures that reflect the organization’s standards.
  • Is responsible for the fiscal management of the department and ensures the proper utilization of the organization’s financial resources.
    1. Develops a department budget within designated deadlines according to all budgetary policies and procedures.
    2. Effectively utilizes resources within an established budget and notifies management of all variances anticipated, or accrued, to maintain department services.
    3. Recommends ways to reduce expenditures and enhance revenues without compromising quality of services.
  • Develops and implements corporate payroll policies and procedures and ensures compliance with government regulations.
  • Develops internal operating procedures and controls for the processing and distribution of payroll.
  • Oversees dissemination of information and training of company’s population regarding payroll policy, procedures and deadlines.
  • Manages all day to day payroll issues/problems and ensures all are resolved timely and accurately and that adequate controls are in place to prevent errors.
  • Performs audits and analysis functions for payroll operations.
  • Prepares and coordinates production schedules for payroll input and processing in conjunction with hospitals.
  • Oversees filing of all employment related quarterly and annual tax returns.
  • Oversees fiscal and calendar year-end processing of payroll, including supplemental payrolls, W-2 and other tax forms, and other government required documentation.
  • Prepares accounting entries for payroll accruals, as well as the reconciliation of payroll to the general ledger.
  • Manages timely deposits of 401 (k) contributions to vendor.
  • Furnishes reports as required.
  • Manages human resources of payroll department to ensure quality services and promote positive employee relations.
    1. Maintains effective and appropriate staffing by collaborating on recruitment and selection of qualified candidates, monitoring employee turnover, overtime, and absenteeism.
    2. Consistently and fairly implements human resources policies.
    3. Performs and facilitates completion of performance evaluations in a timely manner
    4. Develops performance goals/objectives with each staff member to promote maximum productivity, proficiency and professional growth, as evidenced by written goals on performance appraisals.
    5. Follows human resources policies in progressive discipline, when necessary.
  • Demonstrates willingness to be efficient and cost effective via:
    1. Manages time to stay within budgetary limitations
    2. Submits expense reports in a timely manner
    3. Effectively identifies areas needing cost reductions
    4. Suggests ways to improve efficiency and save money
    5. Uses outside resources effectively
  • Promotes efficient use of departmental supplies and equipment:
    1. Keeps equipment in good working order
    2. Orders supplies as necessary
