Incorp Industries is currently seeking an Accounts Receivable and Billing clerk to be based out of our Evansville, IN office. Incorp Industries provides scaffold, industrial insulation, sheet metal, asbestos abatement, industrial lead removal, abrasive blasting, and coatings services to industrial contractors and owner clients in the power generation, petrochemical, grain, pulp and paper, mining, and manufacturing industries.
The Accounts Receivable and Billing Clerk responsibilities include invoicing customers per contract agreements, working with project managers, and a variety of related tasks. To be successful in this role, you should be detail oriented, well-organized, have excellent time management skills and be able to act without guidance.
Principle Duties and Responsibilities
- Review contract requirements for each customer and job.
- Creates invoices according to company practices while meeting customer documentation requirements; submits invoices to customers.
- Maintains and updates customer files, including name or address changes, mergers, or mailing attentions.
- Manage customer portal requirements as necessary.
- Drafts correspondence for past-due accounts and collections, identifies delinquent accounts by reviewing files, and contacts delinquent accountholders to request payment.
- Research customer discrepancies and past-due amounts in collaboration with other staff.
- Research and respond to billing inquiries.
- Reconcile T&M Job Costs and Billings at least bi-monthly.
- Assists in generating monthly billing statements.
- Copies, files, and retrieves materials for accounts receivable as needed.
- Relays changes of information to appropriate employees.
- Performs other related duties as assigned.
Requirements
- Minimum AAS degree in Business or other related major preferred and/or Business or MS Office and related certifications
- Minimum of 3 years' experience working in Receivables or Accounting in Construction or related industry
- Familiarity with office technology and software systems (Viewpoint Spectrum Experience preferred)
- Proficiency of entire MS Office suite.
- Outstanding attention to detail and observation ability.
- Ability to respond quickly and effectively under pressure.
- High level of discretion, confidentially, flexibility, integrity, and honesty.
- Must be able to interact with employees at all levels of the organization as well as contractors and suppliers.
- Ability to work independently and in a fast-paced environment.
Preferred Certifications/Skills
- Advance level MS Excel Skills.
- Outstanding organizational, prioritization, and time management skills.
- Must be able to analyze situations, establish priorities, and handle multiple tasks.
- Must have demonstrated written and verbal communication and presentation skills.
- Demonstrated teamwork skills.
- Excellent problem-solving skills.
Physical Demands and Work Environment
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
