The Human Resources (HR) Specialist performs a variety of administrative tasks in support of the Human Resources Department. This position is responsible for various HR tasks and functions that support the local employee workforce, maintaining employee records, assisting with HR policies and compliance procedures. The HR Specialist will also be responsible for assisting the local HR team with maintaining personnel records, benefit administration, coordinating employer-sponsored events, and responding to general inquiries from plant associates.
Essential Functions, Duties & Responsibilities:
· Engages with candidates, employees, and leaders in a professional manner to address routine inquiries and concerns.
· Assists in the management of physical and electronic records such as new hire paperwork, review schedules in UKG, attendance, disciplinary actions, leave of absence, etc.
· Updates electronic communication channels, bulletins boards, and other platforms to facilitate HR-related communications.
· Contributes to the planning and coordination of employee sponsored events.
· Provides administrative support to the benefits department as needed and during annual open enrollment.
· Routes complex inquiries or issues to the appropriate HR personnel as needed.
· Prepares HR reports and documents for internal and external purposes.
· Collaborates with cross-functional teams to achieve HR objectives.
· Assists HR Generalists with focus groups, roundtable meetings, and surveys and organize data and generate reports of data obtained
· Assists Managers with follow up on employee data (work authorizations, licenses/certifications, etc.).
· Updates HRIS employee data such as change of address, transfers, subgroup changes, pay changes, promotions, etc.
· Responsible for organizing office supply cabinet, tracks inventory, and submits orders as needed.
· Provides coverage at the reception window in the absence of the HR Coordinator.
· Acts as an Advisor for the B You Center and monitors the B You Center Teams Chat and assists with inquiries, password resets, and coverage in the absence of ambassadors and advisors.
Knowledge, Skills & Abilities:
· Excellent written/verbal communication, presentation, and interpersonal skills with the ability to uphold working relationships with stakeholders at all levels within the organization.
· Ability to exercise good judgment in the application of HR best practices, policies, procedures, employment laws, and regulations.
· Tactfully dealing with others in difficult or sensitive situations while maintaining the highest level of confidentiality.
· Possess the ability to respond urgently and proactively to address employee matters, questions, and concerns.
· Exceptional organization and time management skills.
· Strong analytical and problem-solving skills.
· Bilingual in English and Haitian Creole with the ability to speak, read, write, and translate preferred.
· Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, etc.) and human resources information system (HRIS) databases such as SAP, Workday, PeopleSoft or similar.
Education & Experience:
· High School diploma, GED (general education development) certificate, or equivalent required.
· Associate or bachelor’s degree in human resources, Business Administration, or related field preferred.
· A minimum of 2 years HR experience, with a focus on HR Coordination functions is preferred.
