General Summary: The Program Coordinator assists in the development of academic program schedules, adjunct teaching schedules, and other functions germane to the academic operations of the Undergraduate Studies program. Expectations for this role are that this person will serve as a human hub of information, process, administrative tasks management and cross-program communication in support of our students and prospective students and a resource for faculty, administration, staff, and other stakeholders, focusing the Antioch mission and student success. Our program is equity-focused and intentionally inclusive. We are seeking a staff colleague who will bring this anti-racist lens to work with students and to our collaborative work within our team and this institution.

The Program Coordinator has detailed knowledge of, and can articulate the structure and content of the Undergraduate Studies Program and Health Counseling Psychology Program, including their requirements, curricula, policies, procedures, standards, philosophies, and long-range plans and strategies. Occasionally the Program Coordinator may participate in program development, marketing and outreach, and student recruitment and retention.

Along with the Undergraduate Studies core faculty, the Program Coordinator is part of the public face of the program, working closely with prospective students, adjunct faculty, work study students, current students, program alumni, and members of the Seattle professional community. In this capacity, showing up on the Seattle campus to facilitate and support for student and prospective student events, meetings, conferences, and all-campus events will be important to this role and needed each quarter. Most other work expected of a person in this role may be carried out remotely.

Responsibilities:

PROGRAM ADMINISTRATION (65%)
  • Undergraduate Studies (UGS) Support
  • Attend and participate in program meetings and various events as required
  • Assist the chair and faculty team in the preparation of the quarterly curriculum.
  • Coordinate each term’s schedule, verifying the data, and working with the academic team to achieve accurate input.
  • Collaborate with and support the School UGS and AUS Program Coordinator (XCAT) Teams
  • Assist adjunct faculty with onboarding and accessing university resources
  • Coordinate the preparation, review, and submission of adjunct contracts.
  • Maintain electronic web-based resources with documents, announcements, and resources.
  • Produce and distribute various course schedules and instructional reports for administration, faculty, and staff.
  • Maintain and build relationships with staff in student support programs and student services across university.
  • Serve as primary communicative hub between the Program Chairs, program faculty, current and prospective students, and University departments (such as Financial Aid, Admissions, Student Support and Registrar).
LIBST Chair Support
  • Participate in weekly check-in meetings to set priorities
  • Exercise initiative, independence of judgment and tact in handling special projects. Must be able to track complex projects to completion, prioritize tasks, attend to detail, and manage multiple demands.
  • Communicate with faculty by providing reminders, updates, and seek suggestions when appropriate and/or requesting
  • Research, compile data for, design, format and prepare statistical, financial, demographic and other data for special and regular reports and databases, using a variety of computer and presentation software
  • Make recommendations for changes to procedures, workflow, and policies
  • Draft and edit correspondence
  • Co-supervise work-study support staff
Fiscal Management
  • Manage payments and reimbursements for AUS UGS and CRECE programs
  • Complete purchase requisitions, track billing, book travel, and reconcile vendor accounts.
  • Coordinate details for adjunct faculty contracts
  • Process payments for prior learning, independent study, and senior synthesis facilitators.
Other Duties As Assigned ACADEMIC INFRASTRUCTURE (35%)
  • CRECE
    • Oversee distribution of quarterly class outline to staff and students
    • Maintain program teaching and student roster quarterly
    • Coordinate translation services as needed
    • Assist CRECE Coordinator with Prior learning tracking sheet
  • LIBST Advisor & Student Support
    • Attend weekly Liberal Studies/HCP admissions meetings
    • Support with Incoming students – rosters, communications around orientation, onboarding
    • Maintain advising resources such as advising sheets, curriculum guides, email list, student progress trackers, website information, and other advising tools and resources for students, staff, and faculty
    • Coordinate maintenance of all academic program-related documentation including handbooks and syllabi
    • Assist students through all aspects of the enrollment process and facilitate their onboarding through routine communications.

Qualifications: Bachelor’s degree and a minimum of 2 years experience or associate’s degree and a minimum of 4 years experience in relevant administrative support duties and responsibilities. Graduate study may substitute for some experience. Ability to work independently and think critically to develop, interpret and communicate information effectively to students, faculty, and the public. Ability to communicate diplomatically in a variety of situations. Strong organizational skills, attention to detail and strong writing skills required. Ability to prioritize responsibilities and manage time effectively. Ability to shift between big picture thinking and detail-oriented implementation. Computer skills required are PC knowledge, MS Office suite, Google suite, internet use, and knowledge of or willingness to learn new software as needed.

Hours of Employment: This is a 35-hour per week full-time position. A work schedule will be established in consultation with the Program Chair.

Benefits Summary (Non-Exempt Staff) Voluntary Health, dental and vision plan and flexible spending account options; employer retirement plan contribution of 6% and employer paid life insurance. Short term disability is employee paid via the Washington State Paid Family Leave Program; voluntary supplemental life insurance, long-term disability, accidental death/dismemberment, critical illness, and accident coverage plans; Vacation: Prorated from date of employment. Hours accrue based on hours worked each pay period. Carry-over allowed up to 2.5 days, 0 – 2 years; 3.75 days, 3 – 5 years; 5 days, 6 years and up; 12 days per year sick leave and carry-over up to 65 days; 15 paid holidays; tuition remission for employees and dependents at Antioch University campuses; and employee paid options with AFLAC, LegalShield, and Liberty Mutual.
