Legal Project Manager at Coral Gables Law Firm

This prominent Coral Gables, Florida law firm is seeking a dynamic Legal Project Manager to lead and innovate within its multi-disciplinary legal teams. This role involves direct coordination with clients and firm departments to enhance service efficiency and quality by integrating advanced project management tools and methodologies. As a key player in our firm, you will help shape the future of our service delivery, ensuring we meet stringent compliance standards and continuously improve our operational performance to exceed client expectations.

Salary: Dependent on Experience per year

Essential Duties and Responsibilities:

  • Partner with client teams to enhance management of engagements from initiation to completion, seeking innovative ways to use personnel, processes, and technology more effectively.
  • Serve as a subject matter authority on numerous topics, including project planning, budgeting, fee and scope management, compliance adherence, and the utilization of project management software.
  • Provide immediate, on-demand consultancy to client teams focusing on service quality, operational efficiency, and client satisfaction.
  • Ensure strict compliance with outside counsel guidelines particularly related to staffing, reporting, and billing as coordinated with our Finance team.
  • Champion the adoption and further development of legal project management and knowledge management tools (e.g., Clocktimizer, viGlobal, Kira).
  • Develop and refine the firm's methodologies and tools for legal project management by collaborating with internal teams, clients, and vendors.
  • Deliver project management expertise and process improvement training within the department and throughout the firm to foster a culture of continuous improvement.
  • Maintain strong team dynamics, encourage open feedback, and commit personally to innovation and meticulous follow-through.

Minimum Position Qualifications:

  • At least 3 years of experience in project management within a professional services, legal, or consulting environment.
  • Bachelor’s degree in a relevant field or equivalent professional experience.
  • Proven track record of implementing practical and effective solutions focused on client satisfaction and financial success.
  • Proficiency with formal project management and process improvement tools and techniques.
  • Excellent knowledge of project management technology like SharePoint, Smartsheet, HighQ, or Microsoft Project.
  • Exceptional communication skills and proven ability to manage stakeholder relationships across diverse teams.
  • Advanced analytical skills with a knack for identifying impactful metrics.
  • Availability to work flexible hours, including occasional weekends and holidays.

Preferred Qualifications:

  • Advanced degrees or certifications such as an MBA, JD, or Paralegal Certificate.
  • Direct experience with high-profile client operations and large-scale project portfolios.
  • Hands-on experience with change management methodologies like Prosci.
  • Qualifications in project management or process improvement such as PRINCE2 or PMP.
  • Insight into the evolution of project management across different industries and the future of legal services.

  • Strong leadership skills with the ability to manage multidisciplinary teams effectively.
  • In-depth understanding of legal and regulatory compliance in project management.
