Position Summary:

Provides a variety of specialized services in support of the operation of Newborn Follow Up Clinic. Responsible for coordinating the patient check in/out process and/or administering certain clinical and patient services and for performing administrative duties in support of physician staff and operations. Communicate and perform patient follow-up as necessary. May perform other clerical duties related to patient care.

Duties and Responsibilities:

* Responsible for scheduling appointments for NBFU clinics.
* Reschedule missed appointments.
* Completes reminder/confirmation calls.
* Ensures appointment reminders are successfully sent.
* Verify clinic schedule and fill any open slots.
* Assists with No Show process.
* Provides back-up support for Clinical Program Coordinator II
* Ensures clinics are stocked with appropriate forms and information/handouts for patients and parents, as requested.
* Requests supply orders and submits maintenance requests to appropriate personnel.
* Performs other administrative functions such as typing correspondence, editing forms, and filing.
* Disinfect and sanitize clinic area before and after each patient, make sure rooms are clean, and straighten out pull paper for the tables, make sure there's enough chairs
* Maintain handouts/forms such as consents, billing sheets, and questionnaires for clinic providers
* Completes Medicaid referrals and authorizations.
* Requests outside documents such as Medicaid referrals/authorizations and NICU discharge summaries.
* Follow up on requests and scan into patient record.
* Answers multiple phone lines, routes incoming calls to appropriate staff, and enters patient calls into Epic.
* Clear voicemails.
* Responsible for checking OnBase.
* Reviews RightFax and incoming faxes.
* Scans appropriate documentation into patient charts.
* Transcribes orders into Epic
* Ensures the patient family receives CHADIS pre-visit questionnaires, New Patient Paperwork, MyChart, and other documentation needed for a successful visit.
* Maintain forms such as consents, bill sheets, and patient education handouts.
* Works with clinical staff, registration and triage staff and other office staff as needed as well as outside facilities to obtain medical record documents; and coordinating after care and follow up (return appointments) as directed by providers.
* Assist families with resources/services for patients with autism.
* Assists with patient flow throughout clinic visit i.e. check-in/check out, answering phone and door, welcoming families into clinic, update clinic tracker board, assists patients with CHADIS screens on iPads, enter CHADIS results into patient note.
* Provide Reach Out and Read books to patients.
* Prints After Visit Summaries at patient discharge. Scan clinic documents into patient chart.
* Perform other duties as assigned

Salary Range: $16.00 - $26.00

Bachelor's degree in a related field and one (1) year of related experience required. OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE.
