Senior Executive Assistant

Hawthorne, NJ

$80,000 - $110,000

Our client is seeking a highly organized and motivated Executive Assistant to provide comprehensive administrative and operational support. In this role, you will play a vital role in ensuring the smooth and efficient day-to-day operations allowing the Executives to focus on strategic initiatives and leadership duties.

Responsibilities:

  • Schedule Management: Manage and maintain the [Executive Name]'s calendar, including scheduling appointments, meetings, conferences, and travel arrangements.
  • Prioritize and manage incoming emails, phone calls, and requests, ensuring timely and professional communication.
  • Prepare agendas and briefing materials for meetings, and follow up on action items.
  • Administrative Support: Draft and proofread correspondence, presentations, and reports as needed.
  • Manage expense reports and travel arrangements.
  • Maintain filing systems and databases.
  • Order office supplies and equipment.
  • Communication & Collaboration: Act as a point of contact for the [Executive Name], screening calls and visitors, and handling inquiries professionally and efficiently.
  • Build and maintain positive relationships with internal and external stakeholders.
  • Liaise with other departments and teams to ensure smooth project execution.
  • Additional Responsibilities: Perform other duties as assigned by the [Executive Name].
  • Maintain strict confidentiality of all information and matters relating to the [Executive Name] and the company.

Qualifications:

  • Bachelor's degree in Business Administration, Communications, or a related field (preferred).
  • Minimum of [X] years of experience as an Executive Assistant or similar administrative role.
  • Proven ability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment.
  • Excellent communication, interpersonal, and organizational skills.
  • Strong attention to detail and ability to maintain confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
