Diagnostic Scheduler
Description:
The Diagnostic Scheduler is responsible for coordinating patient schedules for multiple locations and diagnostic modalities: MRI, Mobile MRI, CT, US, Nuclear medicine, Fluoroscopy, Bone Density, PFT, Urodynamics, ABR, Nephrology US, and special procedures with and without sedation/anesthesia. Responsible for accurate data collection, documentation, and data retrieval using hospital computerized systems. Must have ability to obtain and maintain knowledge of multiple imaging protocols and contraindications to coordinate accurate scheduling of imaging exams. Reports to department leadership.
Normal day:
Scheduling all radiology visits
Log into the phone call que system (called Feness), wear a headset and answer calls in succession. Everyone takes a turn with the next phone call that comes through.
Those phone calls will likely be from doctors request to schedule diagnostic testing
After they schedule the patient and hang up, they have 5 minutes to finish whatever is needed to complete the scheduling (put notes in, etc)
Also have a fax machine system (WQM) - this is used for all doctors outside who send orders in, send orders into the fax system that puts it into the software. The scheduler will go into the software and look to the fax that came through and match it with the patient. They arent reaching out to schedule - they are just tagging the fax on the patient chart if they have one already in EMR
In their EMR Powerchart, they have a group where nurses and DRs offices will send requests to schedule through the EMR
There is a pool/que that all of the schedulers can go in to see who needs scheduled - there are messages that come in on a group in the EMR - request for scheduling and they will schedule the patients and message the office back to let them know they are scheduled
This person schedules (whatever is available) and then the office will call the family to let them know when they are scheduled (the office should get their availability)
They also have a group email - responded to requests for finding orders, clarification on scheduling appointments
10-15 requests per day through POWERCHART
10 come through email
20 faxes per day
Expectation is Powerchart messages be cleared out every day
Fax system - fax needs to be assigned to the patient by end of the day
All inbound calls unless there is something wrong (then they will make outbound calls if they need to reschedule patients)
